How can I have multiple project managers with the same RBS code sharing project plans

Herve

Hello,

I have read previously in this newsgroup that it's possible to have
several PM sharing project plans (opening and saving them with Project
Professional).
I have setup a RBS structure and I have 2 managers who are at the same
level of the RBS hierarchy. In my current implementation when PM1 has
published a plan only him can see the plan. PM2 (who is at the same
RBS level) can neither see it on Project Center or Project Pro. I
don't want to change the Category setting to assign the project plan
to specific users since I wan't the configuration as dynamic as
possible that's why we are using RBS.
Any clue why this isn't working? Thanks.

Regards,
Herve

Hi Herve, I have the same question - looking forward to hearing back from
someone! Take care.

The RBS structure does not function in the manner that you assume. If you
wish for PM1 and PM2 to be able to see and open one another's plans, you can
make a simple modifcation to the Project Managers group to make this happen.
Here's how:

1. Log into PWA with administrator permissions
2. Click the Admin menu
3. Click the Manage Users and Groups link
4. Click the Groups link in the sidepane
5. Select the Project Managers group in the data grid, then click the
Modify Group button
6. In the Categories section of the page, select the My Organization
category
7. In the Permissions grid of the Categories section, set the "Open
Project" and "Save Project" permissions to Allow
8. Click the Save Changes button

The above change will allow each project manager to open, modify, and save
one another's projects. Hope this helps.

Thanks Dale,

Indeed before posting this question, I read your answer somewhere
else. I am not using the default "My Organization" Category, I have
created a new one. Still both boxes "Open" and "Save" have been
ticked.

In the "Projects: Select the projects that users in the category can
view" panel I have selected the "Only projects indicated below" option
and have ticked all the 4 boxes. My understanding was that when using
the RBS the "who can see what" was defined automatically by checking
any combination of these boxes in order to make the configuration as
dynamic as possible wihtout having to come back to this admin page to
give specific access to specific project plans to a group of users
attached to this category.

Cheers.
Herve.

Herve:

PMs at the same level of the RBS will not be able to see each other's plans
using only RBS related security. You'll need to manipulate these manually,
or allow PMs to see all plans in the system.
