Assign resource to a task for all available hours

Pam

I've been asked this more than once recently. We have over 100 employees and
over 3000 tasks in this schedule. It goes to 2010. There are instances
when an employee is working on a long-term task and has to go to a meeting,
or a week long exercise here and there. Is there any way to tell Project to
put a resource on a task all the time EXCEPT when another task is assigned
for that day/week/month? It would seem you could level that one task to
1000, and all the others higher, but leveling never seems to work like I
think it's going to. We want to show our resource is 100% leveled. The
long-term task doesn't really have a specific number of hours - it's just
general support. I was hoping for a non-manual-moving-hours-week-by-week
solution to have Project automatically subtract any additional task hours
from the main Support task. Thanks for your help!

Hi Pam,

Welcome to this Microsoft Project newsgroup :)

For meetings, you could use Insert/Recurring tasks when Project will level
around the meetings. However, for such a long project, can you be so
accurate that absence at the odd meeting needs to be planned that far ahead?
Cannot this be absorbed by local management? As for exercises, etc, I
would just make his calendar into non-working time for that period. Project
will then not schedule him for that time. And for levelling, just remember
that Project only delays tasks until the resource becomes available, it does
nothing else, and it works very well.

Hope this helps - please let us know how you get on :)
