Is there a way in Outlook 2003 to designate specific folders on the
server as "special". For example, can I tell Outlook to treat the
folder "Trash" on the server as "Deleted Items", "Spam" as "Junk
E-mail" and "Sent" as "Sent Items"?
No for Deleted Items and Junk E-mail. IMAP folders are always ordinary mail
folders and can never be these special folders. However, you can place all
your sent mail in the "Sent" folder on the IMAP server. Create a rule that
runs when sending that moves a copy of all items to that folder. Click
Rules and Alerts on the Advanced toolbar (or click Tools>Rules and Alerts).
Click New Rule. Select "Start from a blank rule", select "Check messages
after sending", and click Next. Click Next again. You'll get a pop-up that
says "This rule will be applied to every message you send. Is this
correct?". Click Yes. Select the "move a copy to the specified folder"
action and, in the lower pane, click "specified". Browse to the Sent folder
in the IMAP message store, select it, and click OK. At this point you can
either click Finish or click Next, which will allow you to specify any
exceptions. Do so, if you want, and click Next or Finish. Clicking Next
allows you to name your rule and enable or disable it. Of you reach this
dialogue, select the options you want and click Finish. Finally, click
Tools>Options>E-mail Options and uncheck "Save copies of messages in Sent
Items folder" or otherwise you'll get two copies of every outgoing message:
one in Sent Items and one in the IMAP's Sent folder.
