security on project plans in Project Server 2003

Hi All,

I have a question about security on project plans using
Project Server 2003. We have templates bascially
containing standard tasks that are used by our quotation
team to generate new project plans. We need a way to
secure these templates so that people outside of our
quotes team does not have modification rights to these
plans. I was thinking of having two different categories
My Quotes and My Project Plans that will differentiate
all the projects. But this then becomes a very manual
process for our project admin to have to go in and
administer what group these plans belong to all the
time. Is there a less manual way to go about achieving
the same goal?

Also, in web access, there is a way to set up the
category such that it only allows them to see the
projects that they manage, which is ideal. But where do
I tell Project Server that person A manages only Project
A? How do I set this permission? Is there some sort of
setting I can set up front for a newly created project?

Two questions for you:

1. When you say "secure these templates", do you mean that no one outside
the Quotes team can actually save an enterprise template (File - Save As and
then set the Type as Template)?

2. Or do you mean only Quotes team members should be able to open and save
their own project plans, but every other project manager would be prevented
from doing so?

Let me know, as my solution will depend on your answer.

Dale,

Sorry, I don't mean as actually saving it as a
type "template". What I'm trying to do is basically
there are 4 project plans saved as .published onto the
server. These 4 project plans cannot be edited by anyone
outside of the Quotes team. While the project managers
manages another set of project plans for which they have
full access to.

The following solution will allow your Quotes team members to be able to see
and open every project read/write, while all other project managers will
only be able to see and open their own projects read/write. Your Project
Server administrator will need to do the following:

1. Log into PWA with Administrator permissions
2. Click the Admin menu
3. Click the Modify Users and Groups link
4. Click the Groups link at the top of the left sidepane
5. Click the Add Group button
6. Name the new Group "Quotes Team"
7. In the Users section, add the members of the Quotes team
8. In the Categories section, add only the My Organization category
9. In the Permissions section, set Open Project and Save Project to Allow
10. Click the Save Changes button
11. Select the Project Managers group and click the Modify Group button
12. In the Categories section, remove the My Organization category
13. Click the Save Changes button
