Keeping costs confidential

In our organisation we have about 40 IT developers and analysts, whose time
on projects is managed via MSP2007, by their managers : 4 of them. In order
to provide visibility of their tasks to the team, we'll be making MSP Viewer
available to them. However, we'd like to keep all cost rate table / salary /
earnings information confidential. Is this possible ? Incase it helps, our
project plans are structured in such a way that they each draw (sharer file)
from a resource pool.

Not possible I'm afraid. The most common way around this is to use band
rates that include all employment costs. You need your accounting team to
come up with average rates for a grade then use them. That way the only
information visible is what grade a person is being paid. If you don't want
any cost information visible for schedules sent to a client, you will need
to have a process to strip them out before sending.

All values in MS Project files are "public." It is "all or none" based on
the password for the entire file.

By the way, there have been posts about issues with password protected files
in MSP2007. Be sure to test password protected files on a "dummy file" prior
to protecting real data.

Thank you for your advice.
In that case, and on the basis that we have project days by person by
project by area, our finance team has opted to have a vlookup table for rates
in order to manage the financials outside of MSProject.

Another option is a package like ours - VPMi Professional.

You can upload your MSP plans and it builds a web-based collaboration
portal for the project. Your customers can see a web-based Gantt and
their billing while you / select employees can see the costs, profit,
and loss.

It is a SaaS product and includes a lot of additional features
(web-based time, status reports, doc mgt, issues, risks, changes,
support, wiki/feedback, resource management, and a lot more). It runs
$10/month (regular users) or $30/month (super users). No contracts,
minimums, charges for space, or other games. You pay only for active
users in that month.
