Archive folder in Entourage like Outlook?

S

Shaun

Hi

My administrator deletes all mail on the server older than 6 months,
so on the PC I used to use, I autoarchived every 6 months, and the
archive folder was usable and searchable from within outlook.

Is there anything similar in Entourage? The native export doesn't
seem to have timestamps, and requires importing when you want to
retrieve old mails... I've seen programs that allow you to export in
timestamps, but then need finder to search through the export.

What I really want is a seacharble archive within Entourage,
preferably running automatically!?

Any ideas?

For some reason you expect people to be able to answer although you don't
say which version of Entourage you are using. Entourage 2004 does make
archives - of everything and anything, including mail. But it doesn't do so
automatically: go File/Export/Archive/Mail (and whatever else). Make
yourself a recurring event or task for every 5 (or 6, if you dare) months to
remind you to do this.

In earlier versions of Entourage, you can archive individual mail folders,
one by one, by dragging them to your desktop or a Finder folder, where they
will become .mbox files (actually the same as what 2004 does with your mail
folders when archiving). These are special text files that can be read and
searched in a text editor like TextEdit, or dragged back into Entourage at
any time to make regular mail folders again: they will be local folders, not
on your mail server, but messages will appear normally, attachments and all.
Some people like to open these in separate Entourage identity if they're
concerned about identity size in Entourage X or 2001 (not an issue in 2004).

Hi

Good point, my apologies, and my thanks for your help so far.

I am using Entourage 2004. I tried the export function, and created
an rge file - this is not quite what I want; it creates an archive
file OK, but it doesn't seem to be viewable within Entourage, like the
archive folders in Outlook were.

I tried dragging the rge file into entourage, but that didn't seem to
do anything - i.e. the file would not appear in the left hand pane.

I realise I can import from this archive, but all I really want is to
be able to reference archived emails, many times a day.

Any ideas, or am I missing something?

It sounds to me as if you don't in fact really want to archive - you want to
keep your mail in Entourage. Since I'm not familiar with what you're
expecting from Outlook, perhaps you could explain what you'd like to do.

You'd better say what sort of account(s) you're talking about. If it's an
Exchange, or IMAP, account, it sounds as if maybe you'd like to remove
messages from the server but still access them within Entourage. You could
do that a few ways. You could archive to an .rge file with deleting
originals, then import back, where this time the messages would be local
copies. Or you accomplish the same thing manually by moving messages to a
local folder "On My Computer", removing them simultaneously from the server.
Or take it a stage further by dragging the folder to disk (the Finder) as an
..mbox file, and then delete the original. The .mbox file could be read in a
text editor, or imported back into Entourage as a local folder.
