Can I do this in Entourage

S

Steve B.

I'm using Entourage X (though I'm happy to upgrade to 2004 if it helps). At
the moment I use Now Contact, and I assign all the contacts I want to have
in my mobile phone to a single category ("Mob. Ph."). I can then sync just
this one category with the Mac Address Book, and from there, using iSync, I
can transfer (via Bluetooth) the Mac Address Book to the phone.

Is there a way I can get just a subset of my contacts from Entourage into
the Mac Address Book so I can do a similar thing??

Thanks in advance,
Steve = : ^ )

Select your Entourage contacts (make sure it's less than 200) and drag them
to a folder on your desktop. You will now have several .vcf files, one for
each contact, which you can simply drag on Address Book's icon.

The drawback in this case is that you need to do this manually, while the
combination Entourage 2004/Mac OS X 10.4 allows you to use Sync Services to
automatically sync your Entourage address book with Apple's. If the manual
export works for you, there's no real reason to upgrade; note also that the
same thing can be done with AppleScript in earlier versions of Entourage and
Mac OS X. If you're interested in that, post back, and I'll tell you some
more about it.

Thanks Michael. I've sort of decided to upgrade anyway (it's on special at
the moment). So, suing Entourage 2004 I can sync *a subset* of my contacts
with the Mac address book??

Hi Steve,

unfortunately, you can't sync a subset, you can only sync the entire
Entourage address book. However, you can still create groups in Address Book
and tell iSync to sync those groups only, which is slightly inconvenient,
but I'd consider it only a minor irritation. Note that having Entourage 2004
is not enough; you will absolutely need to use Mac OS X 10.4 Tiger, as the
sync services in pre-Tiger versions of Mac OS X are either too rudimentary
or simply non-existent. Also, you will need to apply the latest updates to
Office 2004, as the syncing was only introduced with the 11.2.3 update.

Michel,
thanks again. The whole point is, if I add a new contact to my database, I
can decide, at the time I add them, if I want them in my mobile phone. It
would be very time consuming to transfer the whole database to the Mac
address book, and then examine it contact-by-contact to see if I've added
any new contacts that I want to send to my mobile phone. There are nearly a
thousand contacts in my database.

Or am I missing something?

Hi Steve,

no, this can't be done. At least not in Entourage. One thing you'll have to
understand is that if you enable sync services in Entourage, both Entourage
and Address Book will use the same data. So you could theoretically create
your new contacts in Address Book and add them to a group which you will
then sync to your phone via iSync. The contacts you create in Address Book
will show up in Entourage as well, so I guess that would be a viable
workaround. However, Address Book does not use categories, so you'd have to
manually assign your newly created contacts to categories in Entourage.

The most convenient method would definitely be to get Entourage to sync only
specific categories, or to have Address Book recognise Entourage's
categories, but this can't be done at the moment.

Thanks again. Now Contact _can_ do this, but it doesn't do email and/or
newsgroups. ;-\

Still looking for the solution,

With v.X? Not easily. With 2004 and the current updates? Sure, just enable
Sync Services for your contacts.

What phone are you using?
