Catagories

T

Timothy Mathews

With contacts open (Entourage 2008), the left column includes some
"categories" which were put there by default including work, family and
personal. I'd like to be able to quickly select the other categories I've
assigned but haven't been able to find anything about adding, editing or
deleting catagories from this window. Is there a way to do it?

Thanks,
Tim

Try "Edit categories" on the Edit menu. (I'm using E 2004, but I assume this
hasn't changed. If it has, search for "Edit categories" in Entourage Help
under the Help menu.)

Nope...they can be edited in terms of naming them or changing colors etc but
you can't add them to that first column...at least not that I can see.

Did you click on the New icon in the window menu bar?

If you click and hold on the color box, you get the option to select another
color and/or select Other. Control click and hold gives you other options.

Assign a category with a keyboard shortcut (The Entourage Help Blog)

Prioritize your E-mails with a star rating <http://tinyurl.com/c8ogrf>

Tip: if your category list gets long, you can put an * in front of the name
to make it pop to the top of the list.

I think you're misunderstanding what I'm trying to do. I've already
assigned categories to every entry in my address book and am happy with the
colors.

If you look at the first column on the left side of the screen, it starts
with "on my computer" and continues with various selections including three
catagories: family, personal and work. I want to put some other category
listings in this section/column but see nothing but methodology to change
colors and do other things with contacts and or categories but nothing about
where the listing of the category might be placed.

These aren't categories they are folders. File --> New Folder or Subfolder.

BTW, you can assign a category color to a folder. It doesn't do anything
other than color them, but it looks good.

Ah, it's that terminology biting me again!! Thanks so much BUT, I'm
wondering if there's some special mode I have to be in or if somehow I've
installed Entourage wrong...I've tried opening "file" from every screen and
the "new folder" and "New subfolder" are there BUT they're greyed rather
than black so I can't select them. I tried the keyboard shortcut and
nothing happens. All the "help" dropdowns show basically the same thing
but, again, I can't make either new folder or new sub-folder selectable.

Are you possibly confusing Projects with Categories?

If you're looking at the buttons at the top left of the Entourage
toolbar, is the sixth button high-lighted and does it say Project Center
below?

Projects can be color coded but they cannot be assigned to Categories.
Items within Projects can be categorized. You also cannot create Folders
and Subfolders while in the Project Center.

Hope this helps!

No, I'm not talking about the icons...in address book mode, almost exactly
even with th first listing on in the address book and what I'd call the
first column on the left begins:

On My computer
Address Book
Directory Services
Address Book Views
Changed in the past 7 days
Due Today
Family Category
Flagged
Personal Category
Work Category

So, I didn't do anything upon setting up Entourage so, I assume, these are
the defaults. If I click "family category," those people I've assigned to
"family" are listed. If I click, "Work," only those assigned to work show
up. Since those are there, it seems to me that there must be a way to add
others as it's just hard for me to believe that the typcal person, if using
Categories, would only have three; thus, my assumption that there must be a
way to add others.

And the clouds do part and light shines through!

To address the "Folders" and "Subfolders" problem first, you can't
create folders or additional address books here unless you have an
Exchange account. You're probably using POP and/or IMAP accounts.

What you're seeing on the left is the Folder List. An odd name, yes, if
you can't create folders but technically your Address Book is considered
a folder.

The "categories" you're seeing are really Address Book Views. They just
happen to have the word "category" in the name. "Views" are ways of
looking at your information through filters. For example, the "Family
Category" view is showing you your contacts but filtering out everything
except those that have been assigned the "Family" category.

Yes, you can create more and customize these.

1. Click on the Address Book Views header in the Folder List on the left.

2. Select File --> New --> Saved Search (another name for a View).

3. In the drop-down menu that shows "Item Contains", change the menu to
"Category".

4. Use the other drop-down menus that appear to create your custom
Address Book View. You can click the " + " button to add more filters.
If you want, you can create an Address Book View where:

Match if any criteria are met
Category is "Family"
Category is "Friends"

You can click the Save button at the top right and name this new Saved
Search as "Family & Friends Category".

Explore the different options in the drop-down menus and you'll soon see
that you can get very detailed with your filtered Saved Searches.

Hope this helps!

FANTASTIC!!! And I'm so glad to know I'm not crazy...well, not based on
figuring out what the heck to call these things. While I'm loving my move
to the OS x world, the terminology and general way of doing things is
driving me nuts in the early going but with each thing I learn, I'm happier
that I finally made the change.

Thanks again so much for the help.

Even long time Mac users have trouble with many terms used. You can't post
pictures, but you can use a service like ImageShack to show what you are
talking about. This often helps us understand what you are asking about.

Tech Terms

<http://blog.entourage.mvps.org/2008/10/tech_terms.html>

Basic terms used with Entourage and the Apple Operating System (OS) to help
new users and switchers.

Yeah, I should have made a note about Imageshack when it was mentioned last
week. I had the feeling all along that a picture of my screen would make it
a lot simpler. Anyway, thanks so much for all your help.
