Custom View for Mail Merge

Am sorting addresses for a mail merge: the list I'm looking for has a
least 10 contacts in Outlook. Only 3 show up when I set up a custo
view. I'm sorting for a category and for a city, and for a state. An
idea what would prevent some of the listings, entered in the same way
to show up? Thanks
