In my workgroup we deal with a new task that needs managing or assignment by
using a project we call Collection.
When someone gets a call or email that needs attention and classification
(and they don't have the time to complete it) they create a fairly detailed
task in the the Collection project so the office manager can pick it up and
assign it (and generally make sure it doesn't fall through the cracks).
One of the office manager's jobs each day is to make sure all the tasks
dropped in the Collection 'pool' are followed up on, completed, or assigned
- so she'll often take the tasks in the 'Collection' project and assign
them to another appropriate project by using the Projects menu item in the
menu bar.
She'll double-click on the Task in question, click on the Projects menu,
unselect 'Collection', select the project she wants it to be assigned to
(say - Field Work), and save the task.
The task disappears from her Collection project - and appears in the 'Field
Work' project on her machine. But on other Macs sharing in the project, 5
minutes later the task in question is double assigned - both to Collection
and Field Work.
