Duplicate emails

L

Linda Fine

Approximately every 2 months, I receive 1500-2000 DUPLICATE emails of
mail already received on Entourage, some from as far back as 2003.
Does anyone know how I can prevent all these duplicates from coming in?
Thanks very much for any help.

Does this happen after you rebuild your database?

Use Online access to view mail left on the server. Select to download
messages left on server. See instructions here:

Hi Diane, thank you for your suggestion...........but this doesn't
help! Sorry! There are folder icons next to each of my 2 email
accounts. The allowance for online access was already checked in my
profile on Entourage. I can easily see all the messages in these 2
accounts. But within a few weeks, I'll be getting those thousands of
duplicates. Guess I should get them off my server, but how? That's
probably what I need to learn to do. Thanks again, Linda

Just select the button on the Options window "Get messages left on server"
or select messages using online access and delete them.

Somehow Entourage is losing what messages have been downloaded. Do you know
about the duplicate messages script?

OK, that answer implies that these are POP accounts.

The POP mail protocol was never deigned for this kind of access, so it's a
bit of a hack and every once in a while something goes screwy and Entourage
or the mail server) loses its ability to know what is what and downloads the
whole lot again.

Unless you have some very good reason for using it, I would advise you to do
without the 'enable online access' option.

Thanks, Barry...........I've never accessed Entourage online anyway! I
don't know how to do this! So I've never understood this option in the
first place. I rarely open emails..........always just look at their
content in the preview screen. Then delete. Problem is they're still
there in a "deleted items" folder. But I think I figured out how to
permanently delete old emails.........so I'll switch off the online
access thing you're talking about. Indeed I have POP accounts.

By the way, why can't I see the replies posted to my question
automatically as they come in? I always have to fuss around with a few
screens and click on something else before the updates are where I can
see them. Odd, huh? Thanks for all your help.

Email messages sent to you are stored on your mail provider's server. You
have the choice to download them to your computer (this is a POP account) or
leave them on the server (this is an IMAP account). Entourage gives you
options to delete POP mail after it is downloaded or leave on server for x
amount of time. Entourage also allows you to view online. This is similar to
an IMAP account as allows you to see messages that are left on the server.
Having online access checked does not take the place of your POP mail
setting. It's just a feature that allows you to view your mail like a web
browser. For more info on the differences between POP and IMAP accounts
see:

<http://www.entourage.mvps.org/glossary/pop_imap.html>

When you delete a message it is sent to your Entourage Deleted Items folder.
You can set these messages to delete with a schedule or delete them
manually. Messages will remain in the Deleted Items folder until you or a
schedule acts on them. When messages are deleted from the Deleted Items
folder, they cannot be retrieved.

Many users want mail deleted permently with one action rather than having to
go to the Deleted Items folder and delete again. This is especially useful
for spam. To do this you can use a script called Nuke Messages.

If you notice under the Options tab for Accounts one of the options is to
"Delete messages on server when deleted from your computer". This option is
very useful in keeping the size of your database manageable between
scheduled delete times.

I use this option (Delete messages on server when deleted from your
computer) and I usually click on "Delete from Server" at the top of the
preview window as I look through the incoming messages. Yet I have
often had the same problem of a month's worth of messages downloading
again (and sometimes gaina and again and again) -- even messages that
have also been transferred to the Deleted Items folder and then the
folder emptied.

I'm no expert by any means, but it seems to me it must be some of kind
of a problem with Entourage not properly syncing with the ISP's e-mail
server.

When it occurs, I find the only way I can stop it is by going to the
server via web mail and manually deleting the messages from the server.

Thank you, once again, Diane! I am indeed doing just
that.............permanently deleting thousands of messages using the
"edit" tab up top and then "delete message" from the scroll. The
system asks me, "Do you want to permanently delete selected messages?"
and I answer yes. So yesterday I got rid of thousands. So thanks for
all your messages and Barry's, too. You guys are terrific! Have a
productive day........
