Entourage 2004, archive complete folderstructure in mbox forcertain timeframe (say a year)

Hi,

I know I can drag a folder from my inbox to the desktop and Entourage
creates a MBOX file. However, I would like an MBOX file which is an exact
copy of my inbox containing emails from for instance only 2003. This way I
can archive my emails in separate MBOX files organized by year (and my
normal day-to-day inbox is a lot less bulky). The thing is that the MBOX
file should have the folder/subfolder structure as Entourage has right now.

Maybe it is at all not possible but then at least I know I tried :)

Not possible - an MBOX file format does not allow for enclosed folders.

But it's really quite simple to make separate subfolders for each year's
mail. (Title them "Inbox 2003" Inbox 2002", etc.) Drag each subfolder
separately to your desktop or elsewhere on disk. Then store them in a Finder
folder called "Entourage Inbox" or something like that. It works exactly as
you wish. I do this myself, using 6-month increments.

There is another way.

Firstly quit Entourage.

If you are using a pop account (files stored on your Mac), you could
duplicate current identity (files from 2003 & 2004?), calling it "2003", or
similar (!)
Then test this, for your own peace of mind;
Open Entourage using your normal, current identity, delete ONE not so
important email from 2003.
Switch identities to the "2003" id, check that the same message will still
be there, yes?

Now you can see how it works, delete a few 2004 messages from the 2003 id.
Switch back to the 2004 id (to check that they still exist in 2004).
With Entouraged quitted, you can re-name your current id folder to "2004",
which may make it more obvious next time, and be prepared for 2005.
The idea being to keep 2003 messages only in the 2003 named id, and 2004
messages in 2004 id.
After deleting the files you don't want from each years id, compact the
database for each one.
