Entourage 2004, Exchange and delegate Calendars

M

Mark Carpenter

When the exchange extentions can out in Entourage 10.1.4, I was hoping
that I would be able to get the same functionality that I could with
Outlook 2001 for Mac - the ability to fully view someone else's
exchange calendar who has set you up as a delegate. But this
functionality wasn't there. I could only see if someone was "busy"
when I was scheduling a meeting.

I haven't been able to find much detail on any added exchange
functionality into Entourage 2004. So does anyone know if the ability
to fully view the calendar and its events, as well as add new calendar
events of a delegator's account? Does the delegator account show up as
a choice in Calendar Views? I'd like to get off Outlook 2001 for good,
but can't until I have at least full view access to the calendars of
others in my group.

Thanks

I've never used the function but there is a tab in 2004 that allows you to
specify what account you are a delegate for. I don't kno0w what the extend of
what you can do is, but at least the function is there.

Once you've set up a mailbox for delegate access using Outlook for
Windows, delegates can see messages, calendar appointments, and contacts
in that mailbox. Exactly what you see is controlled by the permissions
on the mailbox. You can make or accept appointments, create and remove
contacts, and send and receive messages using delegated access, again
provided that the permissions are set up right (a topic that the
Entourage help file goes into some depth on).

Calendar and contact items appear in their own separate category, e.g.
my wife's calendar items appear in the same category on my computer, no
matter what category she originally put them in. By using custom views
and filtering, you can do a reasonably good job of selecting only the
events and contacts you want to see.

Cheers,
-Paul

If you go to the MacTopia website, there are now articles and pages on many
new Office 2004 features. Go to

http://www.microsoft.com/mac/

Click on Entourage 2004 in the left column, then "Using Entourage" (left
column), then Mail: "Access another person's Exchange mailbox" (big list in
center). [I could have given you the URL but you'll see a lot more this
way.] I learned a lot myself!

Unfortunately their simple instructions don't work for me. As the
previous post indicated, you go through their steps, the delegate
account shows up in the list with the main one, but no folders are
displayed under it. I also created a new folder under the delegate
account to see if it would show up in Outlook, but it did not.

Open Help in Entourage and search for "delegate". There are some pretty
specific instructions that outline what you need to do to get it to work. It
probably will involve some tweaking of the permissions using Outlook.

I too have been trying to get this to work and so far it doesn't work for me
either... Sure I can select/add a name/account in the delegate and sure the
name/account shows up on that far left hand bar but the account is empty.

As for the help instructions... You mean these right? They didn't help in my
case.

In Microsoft Outlook, you must first specify delegate settings and give the
delegate at least reviewer rights to the root level of the Exchange mailbox
before the delegate can use Microsoft Entourage to access your Exchange
information.

1. In Outlook, right-click the top level of the Exchange mailbox in the
Folder list, and then click Properties. (The top-level Exchange mailbox
usually contains the user's full name and has a house icon next to it.)

2. Click the Permissions tab.

3. Click Add, select the user that you would like to give mailbox access to,
and then click OK.

4. With the user selected, click the Permission Level pop-up menu, and then
click Reviewer or any option that gives a higher permission level.

5. On the Tools menu, click Options.

6. Click the Delegates tab.

7. Click Add, select the same user as you did in step 3, and then click OK.

8. Select the delegate access options you want.

I get the exact same results. I have full delegate access (as
confirmed in PC Outlook), I get a list of all the accounts I have
access to, it shows up in the list, and nothing is ever displayed
within that delegate folder.
