Entourage and Exchange - Calendar and Contacts questions

R

Robin Jackson

Hi

My new company is allowing me to use my Mac and Entourage as my primary
email tool.

I have connected and so far all is working well, however I have some
questions which I am hoping someone on this very knowledgeable group will be
able to answer for me.

1. My calendar and Exchange calendar seem to be separate, is there any way
to 'sync' them so I only have to run one calendar?

2. Same as question 1 but this time contacts, can I sync my contacts on
Entourage with my contacts on Exchange?

3. I am used to using Outlook and know how to download and archive email
from Exchange using that application, how do I do it on Entourage?

Cheers.

Did you set the Exchange account as your default account??
Entourage lists two calendars, A "On my Computer" calendar and an
Exchange calendar. Make sure you are using the Exchange one.

Same answer :)

I'm not sure I'm following you on this question... Where is the e-mail
archived?

Entourage lists two calendars, A "On my Computer" calendar and an
Exchange calendar. Make sure you are using the Exchange one.

Will this cause any problems with my .Mac account which is my current
default account?
Same answer :)

Well If I wanted to remove emails from my Exchange server I would move them
to a pst file on my PC.

How do I do the same kind of thing and move emails from the Exchange server
onto my Mac?

Cheers.

Not really. When ou'll open a new e-mail, the default address will be
the Exchange one instead of the .Mac one, that's it.

I see what you mean,
How do I do the same kind of thing and move emails from the Exchange server

There is no such thing as a .pst archive on Entourage.
If you want to archive Exchange items to your Mac, all you have to do
is to move them to any location you want "On my computer".

You can drag the messages to a folder in "On My Computer" or drag them
to your desktop and store them in a folder.

Thanks for the help so far.

I have two outstanding issues I am hoping you can help with.

1. I like Address Book and sync Entourage address book with Address Book
BUT now it does not contain the an identical copy of the address book I am
using????????? Any ideas?

Do I have to somehow duplicate the Exchange address book to the 'On this
computer' address book and if so how do I do this?

2. How do I access the 'corporate' address book when using Entourage?

Cheers.

Hi Robin!

My comments are inline with yours. I'll add my advice to Corentin's.
1. My calendar and Exchange calendar seem to be separate, is there any way
to 'sync' them so I only have to run one calendar?

Rather than trying to sync my Exchange calendar with my local calendar
I've made a habit of just using my Exchange calendar for everything
(business and personal). Using one calendar to begin with rather than
trying to merge two is much easier.

If you have items that you'd like not to be readable to others you can
mark them as Private.
2. Same as question 1 but this time contacts, can I sync my contacts on
Entourage with my contacts on Exchange?

I do the same with Contacts. If I should choose to leave my company then
I can export my Contacts list to a file and import them later.

Hope this helps! bill

2. How do I access the 'corporate' address book when using Entourage?

Go to the Address Book, and then, in the Folder List, under "Address Book
[On My Computer]", you should see an icon with your Exchange account name.
that should allow you to access the Exchange address list. If this doesn't
work, verify that the settings are correct. Go to Tools > Accounts, open
your Exchange account, and click the "Advanced" tab. Make sure everything
under "Directory Settings" is correct.

After it's set up properly, you can also have suggestions appear when you're
addressing messages. Go to Entourage > Preferences, and, in the left pane,
under "Mail & News Preferences", click "Compose". Under "General", you can
check the option to "Search directory services when addressing messages".
