Entourage and IMAP offline

F

Francois Boulet

Hi,

When I try to work my IMAP mail offline, Entourage keeps asking if I want to
connect. Isn't there a way to work offline?

Thanks,

François.

Yes, in the "Entourage" menu select "Work Offline".

Unfortunately the feature doesn't seem to work. I tried it recently and
Entourage crashed and took my IMAP setup with it. I had to rebuild all my
folders and rules.
Others have said it's a bad idea also.

On the contrary. It works. What you might want to do id go into
Tools/Accounts/[your IMAP account] and turn off LiveSync and maybe all
"server Options" - although I have norm problem with any of these myself. It
will depend largely upon the IMAP server.

What "others"? Who? Thousands of people use this function every single day.

Thanks,

All my server option are already unchecked. So I guess my next step is to
talk to my sysadmin. I use Entourage X to connect to a Groupwise server
through IMAP, is there anything specific I should ask/mention to him?

Francois.

Well, first I have a question. What do you mean by " When I try to work my
IMAP mail offline..." the essence of IMAP is that all messages are on the
server, not on your computer. When you check for mail, Entourage quickly
gets _only the headers_, unless you have chosen a setting or a rule to
download the entire message bodies to the cache.

So you can only work offline with IMAP messages if you have first downloaded
the messages. Since you have turned off all server options, and presumably
don't have an IMAP rule to download either, you are getting only the
headers. Thus, when you click on a message, Entourage politely asks you if
you want to connect in order to download it, so you can read it. (if you
don't want to read it, you wouldn't be clicking on the message, right?)

The server option for the account "Always download complete message bodies"
will - I think - work with your Send & Receive All schedule to download the
complete messages when you choose to run the schedule. Then you can go
offline, and the messages will be available to you when you click on the
message header, with no need to connect again, so you won't be asked. This
is similar to POP downloading (except that the message is also still on the
server, of course). If it doesn't work, you could make an IMAP rule in
Tools/Rules/IMAP for "All messages" to "Retrieve from server", but I really
don't think this will be necessary if you check the "Always download
complete message bodies" box on Tools/Accounts/IMAPaccount/Options. You can
tell from the "status icon" - the little yellow envelope icon - next to each
message. If it's a full envelope for every new IMAP message as soon as the
Send & Receive schedule has run, then it's already downloaded and you can
work offline. If it's a partial, fragmentary envelope icon, it's not fully
downloaded and you should make that IMAP rule.

Paul, all my messages are already downloaded. I use a schedule where you can
make an action and in acccount options I've chosen the folders I want to be
synchronise and all messages be downloaded, and it works. Then I check the
"work offline" option, go out and read my mail. If I only do that, it's
fine, and when I reconnect, it shows me a window saying "synchronizing
offline action". The problem is when I want to put one of my messages from
my inbox to a folder, then it ask me if I want to connect.

By the way, I can do it with Mail.app without a flaw.

If you're talking about moving a message to one of your _IMAP_ folders,
naturally it would have to connect. Those folders are on the server. Doesn't
it also tell you that will synchronize with server after you reconnect? You
don't have to connect immediately. It will remember what you've done and do
the actual server folder moving the next reconnection.

Now if you're talking about copying one of these downloaded messages to a
_local_ folder "On MY Computer" you should not be getting that message about
reconnection - that would be a bug. On the other hand, if you're using the
"Move" button to really move it (i.e. it needs to be deleted from the server
folder after being copied to the local folder) then yes, that's a server
action too. Deleting from the server ("moving "to a local folder or to
another IMAP folder) does require connection. Agaun, you should have the
option to synchronize later rather than now.
By the way, I can do it with Mail.app without a flaw.

No I dont have the option to synchronize later, only options "work online,
cancel, connect". If I cancel, it does nothing and dont synchronize later
either. As I said, I have a similar set-up in Mail.app and it works. I don't
use local folders, but all my mails, headers and bodys, are downloaded and
readable offline.

I'll second that! Entourage acts like it will synchronize with the IMAP
server.
Question 1: why are all the downloaded messages in my inbox and folders
under the server name rather than under "on my computer"? I'm trying to
remember how things worked with at my old employer, a big Windows
environment. There, we used Groupwise for email. The Groupwise window
looked a lot like Entourage and had something equivalent to "on my computer"
and a server version of the same thing: both had inbox and all the folders.
When you connected to the server, you could sync them and everything you did
off line would move to the server and everthing new on the server would move
to "on my computer". Entourage looks like it should do this, but there's no
"sync" command that I can find. And all the server info seems to update the
folders as you open them. What goes into "on my computer" is a mystery--it
looks random.

Like those writing before me, I'll open up my PowerBook to do a little email
work in flight. I read an email. Done. Move to a folder. Bang, get a
message that I can connect or cancel. Ok, so I give up trying to be
productive and just read some emails. When I get back to the office and
connect, Entourage makes a big deal out of telling me it is synchronizing
activity that took place offline! I want to kill.
Question 2: Entourage seems to recognize that activity can take place
offline and will synchronize. However, when it's offline, it acts like a it
never heard of offline activity. What are its capabilities?
Question 3: why does checking Entourage: work offline seem to tell
Entourage nothing? It doesn't seem to control the program's urge to connect
when you're 35,000 ft up. Also, when I had a schedule option for send and
receive, it would try dialing on my dial-up modem endlessly when I would use
Entourage, even if I had work offline checked or if I had Internet Connect
closed AND my network settings set to built-in ethernet?

Same exact problem I have!

Paul Berkowitz, we had started a good thread on that but maybe you lost it
because I switch to a more anonymous name and email. I love your scripts by
the way.

I'm also expecting a call from MS support and will keep the group posted
with their answer.

New features of Mail.app in Panther look promising, maybe it will be the
time to switch! I like Entourage, but this bugs me.

François.
