Entourage archives, How to?

C

Curt Blanchard

I'm running Entourage 10.1.4 on a Mac G4.

My email file is over 100 Megs and spans 12 months. I'd like to archive
everything prior to, say, 3 months ago but still be able access the old info
in an emergency. If I make a copy of the "data" file in the Microsoft User
Folder, it won't open by itself in Entourage as there is no Open command.

Suggestions for archiving Entourage email files?

Please reply by email: crblanchardATcox.net (I substituted AT for @ to guard
against spiders, please use @ when replying)

Thanks!

Create a Custom View

Criteria Date Received is xxxxx days old

(You can select All Folders or do this by folder)

Next drag the icon of the custom view to the desktop. This creates an MBOX
file.

Create a new Identity in Entourage under File. Open this new identity and
drag the MBOX file(s) into the folder window.

Once you are satisfied that those messages are actually moved, then you can
delete messages in the original identity. The MBOX files can also easily be
archived to CD for backup.

To access these messages, you simply need to switch identities.

More info on Custom Views can be found here:

You need to fix your account address to reflect this as well.

You first have to create an alternate send-only POP account to use as the
email account for the MS news server.

In Tools/Accounts/Mail, make a new POP account. Enter your real name and a
false email address. Do not enter _anything_ in the POP mail
server/receiving area. Enter your real SMTP server in the sending area. (If
your ISP requires authentication, click "Advanced sending options, and enter
your password there.) Click OK, and again when you're warned that you didn't
enter any POP server.

Now in Accounts/News/Microsoft News Server, make this spoof account the
email account for the news account, and all will be fine.
