Entourage Back Up

Steve

When backing up (exporting) in Entourage, is "local contacts" the same
the address book? When doing this, it shows that you can also "drag it
to the desktop" but I have no idea what to drag to the desktop to
backup the address book. Can someone offer answers on both issues?

"Local contacts" refers to the address book on your computer, as opposed to
an address book on a server (in an Exchange environment, for instance). If
you are not in a corporate environment, it is more than likely that you only
have local contacts. You can export contacts using the File>Export in
Entourage 2004, or you can create a backup by dragging individual contacts
to the desktop. Try this: select a contact, simply drag it to the desktop,
and you will see a .vcf file with that particular contact's details. This
..vcf file can easily be imported into Entourage again in the case of data
loss. You can select all your contacts (select one, then go to Edit>Select
All), then drag all these contacts to a folder on your desktop, and you will
get individual .vcf files for every contact in your address book. If you
have more than 200 contacts, you will need to export them in batches of less
than 200 contacts due to a limitation in Entourage.

If anything's unclear, post back.

Thanks, Michael. I have about 400 contacts. If I use the file>export
feature in Entourage, will I still have to do it in batches or will it
just back up all the checked items effortlessly? And if I do need to
do batches this way, does it give me that option in this process and is
the process referred to as "batches"? Or does the batch process only
apply to when I am highlighting and dragging/dropping as you noted?

One other question maybe you can help with: I also want to use the
Backup feature of .Mac to back up my Entourage contacts and calendar on
an external hard drive. Once I engage Backup in .Mac, where will I
find this information on the hard drive so the software knows where to
grab it?

If you use file:export, there is no need to work in batches - all 400+
contacts will be exported to a single .RGE file (this file is actually a
package, right-click on it and choose 'show contents' and you can dig down
through the folders to get all the individual .VCF files). The 'batches of
200' limitation is only for 'drag & drop' from Entourage to the Finder.

All the entourage information is stored in the 'Microsoft User Data' folder
in your Documents folder. More specifically, the mail, contacts, events etc.
are stored in the file called 'Database' which you will find in the
Identities folders of the MUD folder.

in the identity folders of the MUD folder and back that up, I am
backing up my Entourage address book (contacts), calendar, etc. Right?

The path is:

~/Documents/Microsoft User Data/office 2004 Identities/[your identity
name]/Database.

Best bet is to back up all the identity folder, though.

Depends how many identities you have! If you have only got the one, the only
thing in the Office 2004 Identities folder will be one folder named for your
identity (probably still called 'main identity'). In that case it doesn't
matter which one you back up.

If you have more than one identity you probably want them all backed up, so
back up the main Offcie 2004 folder.

agree with barry that the best way to back up your precious contacts is
by backing up the whole identities folder.

if you back up your contacts using export, your groups may not make it
(at least in entourage X, maybe that's fixed in entourage 2004, have
not checked yet).

No, groups do not get exported.

then here's my low-tech solution for backing up groups :

In address book window, locate the group contact (do not click open)

Drag group contact name to the body of an e-mail message (or a sticky
label or a word document)- it turns up as a list of names and
addresses.

--> save that document. voila.

It's easy to accidently edit/delete addresses within a group contact so
this is a good thing to do regularily.

if you ever need to restore a group contact, go to that saved
document, select all, copy--> paste into new group contact (or BBC or
CC line of a message).

this is also a workaround for the error 17099 problem that won't let
you send to groups.
