Entourage Syncronization bug?

Guys,

I use Entourage to connect to our network Exchange server. I'd like to
synchronize all folders except those I mark as Junk. So I went to Exchange
account property page, Advanced tab and select "Synchronize all items except
those in this category:" and from the Drop Down list I chose Junk, then I
press OK. Unfortunately, Entourage synchronizes everything, even those
folders I explicitly marked as Junk and if I go back to the Advanced page,
in the Drop Down list there is always Family (the first choice). Is that a
bug or am I missing something?

TIA,

Andrea

What exactly do you mean by "folders"? Mail folders? Entourage doesn't sync
mail folders - it syncs messages (and contacts and calendar events). So it
doesn't do you any good to assign Junk category to the folders - you'd have
to assign Junk category to all the messages within the folder. You can do
that by selecting one message, clicking cmd-A to select all, click anywhere
in the Categories column (or Edit/Categories/Assign Categories) and assign
Junk category to all the messages. Same with contacts and calendar events if
relevant (you can access calendar events in a custom view). Now those
messages won't sync.

**HOWEVER, by assigning Junk category to messages, you will ensure that all
future messages form heir senders will be marked as Junk, and won't appear
in AutoComplete fields for addressing messages. To avoid this problem, don't
use Junk category for this purpose. Instead, make a new "NoSync" category
and use that for the messages and the sync rule.

Paul,

Thank you for your answer. That's not what I'm trying to do. I'd like to
tell Entourage not to synchronize messages contained in specific mail
folders (I don't need to have my whole Exchange mailbox synchronized on my
PowerBook). Is there a way to do that?

I think I answered that already:

In fact, it doesn't actually "sync" mail at all, nit like contacts and
calendar events. It simply accesses your Exchange on-server mail via the
IMAP protocol. Any mail that comes in _is_ on the server, and that's what
you get in Entourage. You don't have to download it to your Entourage cache
if you don't want to - until you click on a message to read it only the
headers will be there. In your Send & Receive schedule, you can "click here
for account options": the default should be "Headers Only" for your Exchange
account folders that are linked (probably just Inbox, Sent Items and Draft).
If it's some other option such as "All Messages" or "New Messages" change it
to Headers Only. That really won't sync the full messages unless you click
on them. Headers take up almost no space.

If you ever moved messages from the server to a Personal Folder (.pst) file
in Outlook, and then deleted them from the server, Entourage won't know
about those.

Sorry, but I don't get you. First of all, I have ALL messages in my Exchange
mailbox "synchronized" to my notebook. That means that when I'm not
connected to the office network I still see all the messages and I can even
read them (both headers and bodies).
Moreover, if Entourage didn't "sync" mail, what would be the meaning of the
"Automatically synchronize Inbox with the Exchange server" option in the
Advanced property page of the Mail tab in the Exchange Account properties?

In the end, what I'd like to do is to automatically download all the
messages in selected (not all) folders from the Exchange mailbox to my
notebook, so they are available while I'm traveling. Is that possible?

TIA,

Andrea

Sorry for confusing you. Here's what to do:

1. In Tools/Accounts/Mail/[your Exchange account]/Edit/Mail, check the box
to "Include in Send & Receive All" schedule. Click OK.

2. In Tools/Schedules/Send & Receive All/Edit, click the "Click here for
account options" button of the "Receive mail from [Exchange account]" line.

3. An "Account Settings" window opens with Folder Synchronization settings
for the account. Click disclosure triangles to view all subfolders of INBOX
and other folders.

4. Check the checkboxes folders whose messages you'll want to download. (And
uncheck any that may be checked which you don't want.)

5. For each checked folder, flip the popup at the right from "Headers Only"
to "All Messages" (or to "New Messages" if you only want to start from now
onwards).

6. Click OK.

7. Back in the "Send & Receive All" schedule you can set a repeating
schedule if you wish. If you do, you'll need to set Entourage to Work
Offline when you're not connected, but you probably do that anyway.

8. Make sure the Enabled box at bottom left is checked. Click OK.

9. Instead of a repeating schedule, or in addition, every time you're just
about to go offline, run Send & Receive All schedule manually (cmd-K). It
will download the latest messages from the server to Entourage.

Now you will be able to read all your messages offline, and make replies to
Send Later.

Paul,

Thank you for your excellent explanation. There is still one point a little
confusing. Every time I access a folder while online, Entourage downloads
all the messages (headers+bodies) in that folder. As a result, I have lots
of messages cached (or "synchronized") on my PowerBook, even if I don't
really need them. Is there a way to avoid this annoying behavior?

I think that if you go into Tools/Accounts/Mail/[Exchange
Account]/Edit/Options tab and turn off "Always download complete messages"
that should stop that. You should only only download messages you click on
then.

Paul,

Sorry, but I don't have such an option! Kinda weird, isn't it?
