Does anyone know how to access all Entourage's Contact fields in a Word mail
merge? When I bring up the Office Address book in the Data merge manager,
it only shows a limited number of them..
€ Export all the contacts to a tab-delimited text file via
File/Export/Contacts. That will give you every field except Category. (If
you need Category info and/or also do not want carriage returns in Notes to
be replaced by spaces, you'll have to get my "Export-Import Entourage X"
script instead.)
€ In Word, in Data Merge Manager, Create the Document, and in Get Data,
choose Open Data Source (NOT Office Address Book), and navigate to the text
file you exported from Entourage by either method above (built-in or
script).
€ In Merge Field, you'll now find the entire list of Entourage fields
available. (If you've used my script, some of the field names will be a bit
different than what you may be used to). Choose whichever you want, adding
punctuation, spaces and new lines in the sample created in the Word
Document.
€ Merge.
If there's any reason why you think you might want to manipulate the export
file before doing the merge (I can't think of any, but maybe you can), it
will be much easier to import it first into Excel (Data/Get External data)
and do the manipulations there. Then save the Excel file - either as a
standard Excel Workbook or as tab-text. If you want to restore carriage
returns in Notes, use my scripts, including the Excel Export Adapter to do
so, then save as an Excel Workbook.
You can use this data source over and over again, or re-export from
Entourage whenever you need to update it.
