Exporting only one category of contacts

Is there a way to only export contacts from one specific category in the
address book, rather than everything?

Export in what form?


1) If you mean as an Archive (.rge file) or as separate vCards - .vcf files
- and you have Entourage 2004 (for some reason, you didn't say which version
you have) then yes, you can. Go to File/Export/As Archive, select "Items
that are in the category <choose category>, check only Contacts box (uncheck
other items), and proceed. That makes an .rge file which can be imported
back into an Entourage identity in future. If you select it in the Finder,
right-click (control-click) on it, select "Show Package Contents", and then
look into the Contents folder that appears, you'll see all the separate .vcf
files. They can be opened by TextEdit or any text editor, and imported to
most other PIM applications (like Apple's Address Book). The information is
there, in the text files, but not easily usable - cannot be opened in excel,
etc. - see 4) below. Note that the .vcf files don't actually contain
Category information.

2) If you have Entourage X (works also in 2004), you can get the same ,vcf
files by going to Entourage's Address Book, sorting by Category (click on
Categories column header), then shift-click the top and bottom contact of
the category in question to select them all. (If you use multiple categories
for some contacts, you'll have a few such sections to select.) Then drag the
selection to a folder on your desktop to export the .vcf files. But don't
select more than 200 at a time - that's the maximum. (In bottom left corner
of the main window you can see how many you selected.) Do it in stages.

3) If all you need is a few basic fields (Name, Default Address, Default
Phone, a few others) open Word. Go to Tools/Data Merge Manager. Choose to
make a Catalog. Choose the "Office Address Book" as your Data Source. Select
the fields as you go along, and include line endings and punctuation. When
you get to the bottom, click Query button, There you can choose just one (or
more) categories. Then click Merge to New Document, and you'll get it all.

4) If what you want is tab-text file, just like what you get when you do
File/Export/Contacts to text file in Entourage 2004 or X, with _all_ the
fields, that can be opened in a text editor or in Excel, but from just one
category at a time, you can get my shareware "Export-Import Entourage"

They let you export contacts (also calendar, tasks, notes, etc. too) by
category and by various other ways (selection, for example). They even have
a field (column) for Category.
