Fax Cover Sheet Automation - "real time"

B

Brad@work

Hi All,

I'm working with a fax cover sheet that is simple enough, but I have to
enter in duplicate information. I think that twice is too much and increases
the opportunity for errors. So I'm looking for advice, and I'm rather
demanding...

Potential Problems:
This isn't a batch job, since I don't process a pile of faxes at once, I'm
not sure if mail merge is the solution.
In the time it would take to open a database or excel file, I could hit
ctrl+c and ctrl+v be done, so it has to be fast (real time)

I'd like to some how set it up that when I enter the person's name once, in
any method possible (macro, pop-up prompt?) it automatically inserts or
updates the person name throughout the coversheet. I'd also do this with what
ever other information is duplicate.

Hopefully someone has to obvious answer that is elusive to me at the moment...

Thanks in advance,

- Brad

1. You can use the address book to store the information, so all you need is
a drop-down of the names in your address book.

2. Set up your template with docproperty fields for the standard information
you need to display.

3. Having selected the name, put the values you want into document
properties, then update fields.

Thanks for the reply,

The problem with that approach is that there's no gaurantee that I'll fax
the same person twice. also the order number will change each time i do fax
the same person. So entering into an address book might take more effort than
its worth.

In that case, the easy methods are:

1. set up a UserForm to collect the info, then populate the document
properties from there; or

2. use bookmarks and ref fields.

From the FAQ

19. How can I enter something once in a document and have it repeat
elsewhere?
