Footer Informaion update in a Protected Word Form

E

E. Torasso

I am working with Word 2003 in a Windows XP professional environment. I have
created a form in word and on the first page I capture Client Name and Client
ID information. I want to populate the form footer with this information
after the Client ID information is entered on the form.

I have created a macro (using the record macro function) to unlock the
document, go into the form footer and populate the footer with the Client
Name and ID information.

I can not get the macro to return me to the normal document so I may lock
the document back in “forms†mode. Every time I attempt this the code aborts
with a message that the function is not current available.

Any suggestions?

You do not need to use a macro. Instead, in the footer insert cross
references to the text of the bookmarks assigned to the Client Name and
Client ID Formfields and in the properties dialog for those fields, check
the Calculate on exit box so that the fields in the document are updated
with the data that is entered into those fields.

Even better, with the form unprotected, select each of the fields you want
to replicate. Create a new character style called Client Name and assign
that style to your Client Name field. Do the same with the Client ID. Then
use a StyleRef field to replicate these results in the footer. (This works
better than the Ref field when you are working in headers or footers.)

Thanks, Doug, but I tried this option. First, the information is not
immediately brought down to the footer area (this only happens when you print
or print preview the document). Second, the font size and format, from the
form field, are carried down to the footer area. This is why I was trying
to do this with a macro, where I would have better control of the process.

My macro works with the exception of getting focus back to the main document
so I can protect it in forms mode.

Charles -

Thanks for the advice - it works like a charm.

Glad to have helped. Despite its quirks, the StyleRef field is a gem.

OK, on exit from the formfield, have a macro run that contains the following
code

With ActiveDocument
.PrintPreview
.ClosePrintPreview
End With

and to the cross-reference field, at a \* charformat switch inside the
closing } of the field and format the R of REF with the formatting that you
want to be applied to the information in the footer.
