G-Mail and Hotmail.

Dear members:

I have just tried to add web-based e-mail accounts to Entourage 2004 but
experienced problems in having these new accounts set-up.

Hotmail unfortunately requires the user to sign up for the paid subscription
form of Hotmail in order for it to be compatible with Entourage. The free
version will not work.

I tried G-Mail next and was able to set it up quite easily. Google has easy
to follow instructions on the G-Mail web site that allow one to set up
G-Mail as a POP account in a variety of e-mail clients including Entourage
2004.

The problem I am now experiencing is that I am not finding a way to set up
my G-Mail account in Entourage to function the same way my Earthlink account
does. My earthlink conventional POP account has an inbox, sent, outbox and
other folders where the e-mails are saved or stored. The G-Mail account has
only one icon with that suggests a network connection and functions somewhat
the same way my usenet accounts (or newsgroups) do. Once I click on the
G-Mail icon it asks for my password (I don't like to have my system remember
the passwords) and I enter it. It then downloads the messages and I read
them. After I move to another folder and then return to the G-Mail folder
the messages I have already read are no longer there. Entourage is not
"holding" or "keeping" these messages the same way it does with my Earthlink
account.

How can I set the G-Mail account so that I have it functioning in a similar
way to the Earthlink account and have the messages stored locally instead of
on Google's web site ?

Thank you in advance for your help.

Best regards,

Joseph Chamberlain

No, it doesn't. Those folders do not belong to your Earthlink account, nor
any other POP account. They are "common folders" for all POP accounts -
which download messages to Entourage. But not for IMAP (nor Hotmail, nor
Exchange) accounts, which have their own folders on the server, which
Entourage reflects. The whole point of IMAP and other server accounts is
that you can access all your messages from any number of computers you may
have, in email programs like Entourage that implement IMA{ and from browsers
too. Gmail is evidently one of those.
The G-Mail account has
only one icon with that suggests a network connection and functions somewhat
the same way my usenet accounts (or newsgroups) do. Once I click on the

That sounds very unlikely to me. Are you sure you don't simply have
View/Unread Only for that Gmail folder? Messages should not be disappearing
from there unless you delete them - not for months or weeks anyway (if you
have some such option set up for Gmail). You probably have the folder set to
View Unread. While there, go to View menu, and de-select that setting. (You
can toggle it also via cmd-shift-O.)

Also, on the Gmail website, check your account settings. It's possible you
have some setting that deletes messages when read. But I've never heard of
such a thing - there might be a setting fro deleting messages older than x
months or days, though.

The big attraction of Gmail is that it is supposed to have immense storage
capabilities - no need to delete anything for a good long time.
How can I set the G-Mail account so that I have it functioning in a similar
way to the Earthlink account and have the messages stored locally instead of
on Google's web site ?

Why should you want to do that? If you insist, you can set up a rule in
Tools/Rules/Mail (IMAP) that moves, or copies, messages to your local
folders.

Or you can set Gmail up as POP instead of IMAP, which is how I have it.

As far as I know, Gmail accounts can only be set up as POP accounts, and the
OP said that that's what he did. I guess he'll need to post some more
information...

Indeed, that's true.

Go to Tools > Accounts, and, under the "Mail" tab, open your Gmail account.
Check the option to "Include this account in my Send & Receive All
schedule". Click the "Options" tab. Uncheck the option to "Allow Online
Access", and click OK.
