More newbie stuff - archiving

Hello,

I admit - I don't have entourage or a mac for testing so I want to make sure
I do this right. In outlook, I could export data to a PST and attach it so
that it wasn't filling up the exchange server - not sure what to do in
entourage. I have a new client - they are using entourage 2004 on OSX.
They have a 15 GB store on their local mac - almost nothing on the new
exchange account. They say e-mail is very slow on their old mac account
(exchange account not configured in entourage yet) None of the other
clients seem to have performance issues.

Things I'd like to do -

1 First I'd like to backup his data - what is the file?

2. Search for very large e-mails to see if we can delete some of them.

3. Break the mailbox into smaller archives if entourage supports this -
please let me know step by step what I should do as I really don't want to
destroy his set up.

Thanks for helping out - I appreciate the support.

You could export as MBOX files. This could be done on individual folders.
You can also create custom views to sort your mail.

Can you tell me more about mbox? With PST - even though the data isn't in
your e-mail account database, you can attach it to your profile so that you
can search and do pretty much all the functions of data in your mailbox.

Thanks

Since you are new to Mac, you might want to bookmark the Glossary that
explains a lot of the Entourage and Mac terms you might encounter.

<http://www.entourage.mvps.org/glossary/index.html>

An MBOX file is a specially-constructed text file, usable by any text
editor, which contains mail messages within the file (some other email
programs also use them). The beauty of an MBOX file is that it¹s usable by
other applications and is cross platform. It cannot be searched though from
Entourage. I suggest that if you want older mail available for searches that
you create a second Identity and name it archive.

<http://www.entourage.mvps.org/glossary/index.html#mbox>

To archive your Exchange account:

See the script AutoArchive Exchange Account to "On My Computer"

<http://www.entourage.mvps.org/exchange/autoarchive.html>

To archive your POP mail "On My Computer":

Duplicate your current Identity and rename it. Now, you have a duplicate
Identity folder structure with your old mail that you can quickly switch to
for easy searching. Remove Old messages from current Identity using a Custom
View. Leave at least 60 days of old mail. You will have some duplicates but
this is preferable to switching Identities constantly to find recent mail.
