New to entourage- full of woe

Hi -
I have 2 basic problems with entourage
1- Rules. I set up a whole bunch of rules- None of them seem to
run automatically- ie everything gets dumped in the in box and
nothing gets filtered
-- In order to force filtering I select all messages
and then say " apply all " to the rules -- something seems to be
running but only a handful of messages get filtered. If i select a
bunch of emails and then apply a single rule- that seems to work fine
but the gang apply over the whole inbox doesnt
2 Mail left sitting on pop server. People have been telling me
they have sent me mail. I look- nothing I then went to the pop
server, and tonnes of mail is sitting there and did not come over when
entoruage connected it. it seems entourage is selective about which
mail comes over and which doesnt ( these are al under 1 k emails) I
seem to get all the spam and trash and an occasional good mail, but
all my important sutuff seems to get left on the pop server.

I get mail form the popo server from 4 differnet computers and ALL
are set up to leav eth mail on the pop server-- you ask why not imap -
i hate the intereface.

Once a rule has run on a message none of the subsequent rules will move it.
I suspect your rules need some work or reordering.

Here's my lesson on setting rules:

Know the basics:

There are 3 different kind of rules in Entourage:

Mailing List Manager (MLM)
Junk Mail Filter
Rules (custom rules you create)

They run in the order listed above. The custom rules also run in the order
they are listed. (top runs first)

1) POP Rules act on a message ONLY when it first arrives in the Inbox (On My
Computer), NOT when it arrives in any other folder. Once it's moved to
another folder it won't be seen by rules.

2) IMAP Rules are meant to act on a message ONLY when it first arrives in
the IMAP INBOX, not when moved to another IMAP folder.

3) Exchange Rules act on a message ONLY when it first arrives in the
Exchange Inbox.

Use the Mailing List Manager (MLM) to manage Lists. Set the Junk Mail Filter
to High, set custom rules.

Let's say you have no custom rules created. You have a ton of mail in your
Inbox and Junk folder. If it's in your Junk folder then and it's good mail,
select "This is not junk" and add the entry to your Address Book.
[IMPORTANT] Having an up to date Address Book is key to managing your mail
and using rules. Assign a category to every entry in your Address Book. You
can select using command-select to quickly add a lot of entries to one
category.

Select the first message in your Inbox. Is this a list message? Then use the
Mailing List Manager to create a rule. Run "All rules" to move out all of
the list messages. Continue looking for other lists and create a MLM rule
for each. This should leave you with just personal mail. Can this message be
sorted by a category like Work, Buddy, Family, Announcements, Newsletters?
If yes, then assign a category to the email and set a rule. Using categories
rather than individual addresses make managing the rule easier and any new
addresses added by that contact will be automatically included at a later
date.

My Buddy Rule:

From is in category Buddy
Is not in a mailing list

Move to folder Buddy
Run AppleScript Play sound (I like to use this action so I can hear when I
get mail from my buddies)

Look through other email in the Inbox and see if there are other emails
there from Buddies. Assign categories to these if you haven't assigned in
your Address Book and run "All Rules". This will move all buddy mail from
your Inbox.

Take the next message, create a rule. Run all rules and see if it works, If
not then adjust the rule so it does work.

Hope this helps.

In your situation where you have rules, I would move the Rules file out of
the Identity folder and create all new rules using the tips above. You can
take screen shots of your current rules to help with the new rules. If you
don't like the new rules you create, you can always replace the rules file
with your older backup.
