Problems with captions

Hiya everybody,

there is something wrong with the numbering of the captions in my word
document.

This happened after my colleague has opened the file, which is saved on
a network.

I could bring in the right order by updating fields, but when another
colleague opened the file, it was all wrong again.

Maybe I have to mention, that we are all using Office 97, but editions
in different user languages.

I hope this information helps to identify the problem and any support
would be greatly appreciated.

Word makes use of SEQ fields for caption numbering. The name of the
caption label determines the name of the SEQ field identifier. This is
a source of trouble across language versions, because the built-in
caption labels have different names in different language versions of
Word. To see if this is the problem for you, do the following:

Press Alt+F9 to display field codes. You should see SEQ fields like:
{ SEQ Figure } (for figures) and { SEQ Table } (for tables) in English
versions of Word. The identifier is the word immediately following SEQ
in the above field codes (it is possible or even likely that more
commands, so-called switches, follow it in the field codes).

If the problem turns out to be with SEQ field identifiers, you can
work around it by creating AutoText entries with the desired text and
SEQ fields included; that way, you'll get consistent caption numbering
without using the Caption dialog box.

Another thing to consider: Are you using track changes? Then you can't
be sure that numbering is correct until all changes have been accepted
(or rejected).

Thank you for your advice.

I've tried to solve the problem with the SEQ fields already yesterday
according to the Microsoft Word Help, but I didn't manage.

Maybe the AutoText entries are a good approach.

However, our colleague has opened the file with winword on another
machine, saved it and sent it to me, and now it (fortunately) works...

What is the problem with the SEQ fields? The one I suggested? If so,
you can manually alter the field codes so that they match. For
example, make sure that all figure captions really use the word
"Figure" (or whatever is appropriate for your language version) for
their SEQ field identifiers. But if the identifiers are OK, AutoText
is less likely to fix the problem. Instead, you may want to look into
other factors.

For example, are the captions created by selecting objects with a
"Wrapping style" other than "In line with text" (Format>[Object],
Layout tab)? With wrapped objects (in the drawing layer), SEQ fields
usually end up in text boxes, where they don't work well. If the
captioned objects are placed in line with text, captions will also be
in a main text paragraph. You can place the in line object and its
caption inside a frame (just select them and, on the Forms toolbar,
click Insert Frame) and then wrap text around that frame, if
necessary.
