Running rules automatically

C

Charlie

As a background, we are using Outlook 2000 and Exchange 5.5

We have a mailbox that several users access. Here is the scenario:

A new e-mail arrives. One of the users reviews the e-mail, and edits
the message by adding text to it, for example, "Reviewed by Tech #1".
They then save the e-mail.

We have a rule that says to move mail with "Reviewed by Tech #1" in
the subject or body to Test folder. It will not move the mail
automatically.

If I go into the Rules wizard, I can force the rule to run and it will
move the e-mail. We would like the rule to run automatically, without
user intervention. Is this possible?

The problem is that you have more than one user logged into the mailbox at
the same time. The rule will only be processed by the account which owns
the rule. Try this, have everyone log off the mailbox, then have the user
which owns the rule log on and test it out. The rule should function
perfectly so long as you do not make another Outlook connection to this same
mailbox.

Hope that helps!!

Thank you!

Rules are applied to new messages as they arrive, not after editing. You'll
need to use Run Rules now to move them.

You might be able to use VBA to force them to move, but it would need to be
installed on all machines that access the mailbox - and it might not work
unless they open the box directly as the owner.

If I decide to go the Run Rules now route, is it possible to have that
as a button on a toolbar?

Browse through the list of commands and see if it's listed - right click on
the toolbar and choose customize... browse the commands in the center tab
and if you find a button you want on a toolbar, drag it to the toolbar.
