send to categories/shared address books

Claudia

Quite elementry questions I'm sure, but my boss is truely pestering me
to find a solution.
We're using Entourage 2001 v.9 on Mac OS 9.2
He has sorted the address book into categories and wants to send mail
to specific categories. How is this done? Are categories in Ent. for
sorting incoming mail only? We've tried to export the address book but
the groups and categories are lost.
Secondly, there are three of us in the office and we all want to share
the same address book. How can we do this with our inhouse server?
We need a solution that does not involve buying a PC and a managed
exchange server. Is this possible?
I would REALLY appreciate someone helping me here with informative
answers and achieveable solutions. These problems are really starting
to frustrate me.
Kind Regards.

In Office v, X you can send email to categories this in Word X - Data Merge
Manager. But in office 2001 they hadn't finished the implementation so that
method works only for the whole Address Book - not what you want. If you get
George Clark's "eQuery" scripts at

MacScripter.net <http://macscripter.net/scriptbuilders/>

(at least I think it's there), you can do it that way).

Another way is easier, but I don't have Entourage 2001 any more to check, It
does work in Entourage X:

When the Address Book is sorted by category, click the top contact of the
category in question. Hold down the Shift key and click the bottom contact
of that category. That will select (highlight) all the contacts in between -
i.e. all the contacts of that category. Now go to "Contact" menu. The top
menu item should be "Send Mail" (at least it is in Entourage X). Or simply
control-click on the selection: "Send Mail" should be in the contextual menu
(at least it is in X). It will make an email message window with everyone in
the To field. Just send it. (If you don't have your own server and your ISP
won't send out a message to that many recipients at once, get my script
"Split Recipients" at

MacScripter.net <http://macscripter.net/scriptbuilders/>

..)

Please "Reply To Newsgroup" to reply to this message. Emails will be
ignored.

PLEASE always state which version of Entourage you are using - 2001 or X.
It's often impossible to answer your questions otherwise.

Only eQuery 1.0 is available at ScriptBuilders @ MacScripter. The latest
version (2.0) can be downloaded at George's eQuery page:

Actually, the command is "New Message To".
