Sending Master Project's

T

Trev

I am trying to send a master project via e-mail and due to the fact that the
receipiant does not have all of the sub projects they cannot open the master.
Is there anyway that I can e-mail this master project? They do not need to be
able to edit the project.

Thanks

Trev,
I suggest you convert the dynamic master into a static master. That way,
it's only one file but it will only represent the state of the overall
project at the point in time when the static master was created. Since
your recipient does not need editing capability, that should work out
fine.

You can make the conversion in one of two ways. Either rebuild the
master (Insert/Project) and uncheck the "link to project" box in the
lower right corner of the insert window, or unlink each subproject from
the existing master by selecting each insertion point summary line in
the master and going to Project/Task Information/Advanced tab. Uncheck
the "link to project" box.

Be advised however that if there are external predecessors between
subprojects in the master, these links will NOT be preserved when you
unlink the subprojects. A dynamic master with external predecessors can
be converted, but it requires a macro.

Hope this helps

Alternatively you can collapse the sub-projects to just one summary line in
the master schedule and save it.
MS Project will only look for the sub-projects when an attempt is made to
expand the sub-project.

I have a similar problem but the subprojects which also have external links.
I have saved the master (and subprojects) to an alternative location and on
some occasions it changes the dependencies and sometimes it does not and I
don't know why

Can anyone explain?

Alternativly where would I get a macro to change the dependencies

Thanks

Chris B,
It is not a good idea to change the directory location of linked files
(e.g. master and subprojects). That effectively changes the linking
structure and in most cases will create corruption. Always keep linked
files in the same directory and also do not change the names of the
files.

With regard to the macro. I have a macro that converts a dynamically
consolidated master with external predecessors between subprojects into
a static master with the external predecessors converted to normal
predecessors. It is not freeware. If you are interested, you can contact
me at the address below. I will ask some questions.

Thanks John, I take on board your point about moving files around.

Thanks also for the contact details, macro could well be the way farward
