unable to retrieve archived material

I had archived some letters recently, when I retrieved
them for the first time they came in ok. I closed the
archive folder. When I attempted to retrieve them a
second time the archive was locked. The archive icon has
changed from an office icon to an undetermined program
type icon and I cannot retrieve the information again. Is
there some procedure that I am missing in the retrieval of
the archive?
