Using Categories to Address Email

I am using Entourage 10.1.4 as my email client. My contact database is
large. All of the contacts are grouped in categories.

In the mail composition window, I would like to narrow the address
book by category so that I can choose the 'Send To' names from a
smaller group.

Right now when addressing email Entourage displays the entire address
book. This is about 900 names. I want to be able to just tick off the
ones I want without scrolling through the entire database.

I have investigated Custom Views, but that does not really address
what I want to do. Creating groups would automatically address the
message to everyone in the group and this is not always a constant.

Is it possible to narrow the selection list in the mail compostion
window by category?

Not in the composition window. However if you go to the address book and
choose "Category is" in the popup at the top right corner of the window, you
can filter your address book by category (or you can create a contacts
custom view for a specific category, like the default ones for Family,
Personal, and Work). Then select all (Cmd-A), and then click the "New
Message to" button

You need to set up a 'group' that has all the names of the people in it.

Create a group
1. Click Address Book Address Book



2. Click New Group New Group button.
3. In the Group name box, type a name for the group.
4. Click Add, and then add members to the group.
Tip If you would prefer that message recipients not see the addresses
of other group members, select the Don't show addresses when sending to
group check box.

Thanks for confirming that I can't do this. It appears you can only
use categories in message composition if you start from the address
book window as you suggest. I am looking for a way to start from the
email window, as in forwarding existing mail to several recipients.
It's a function that would be helpful and I wondered if anyone else
was interested.

Paul Berkowitz has written a script which will form a group from a
specified category. It's straightforward to compose messages for group
membership.

It's called Category Group X, and it's at

It makes all contacts of any specified category who have email addresses
into a group. In the TO or CC box of a message window you just enter (or
autofill) the name of the group, just as you do for contacts, as you're
requesting.
