Calculated actual work to Ave value

Dear All,

I used project server 2007 sp2 with SQL server 2005

Assume one resource has enter his\her actual work for 200 hours per one
month on several projects, but the default value for actual work for project
server is calculated by (8 hours * 22 actual days per month) = 176 hours per
month and is 100% per month work complete.

It means that I have 24 hours (sub. between 200 (enter actual work) and 176
(default value))

This problem increased the cost for that resource on projects, how can I
decrease or convert or calculate this value (200) to default average value
(176).

Regarding that I don’t use remaining work.

These two cases how to explain my issue:


Project A
Project B

Case 1: I entered 12 hours actual works on Monday for Project A == then it’s
calculated by 8 hours on Monday and 4 hours on Tuesday (increased project
costing).

Case 2: I entered 6 hours for project A and 6 hours for Project B on Monday
== it’s Ok for projects costing.

Did I understand correctly that this is what you are asking:

- Your resource enters 200hours in one month, but in the plan and in
your reports, you only want to see 176 hours because that is the default
and you don't want your project cost to change?

I'm not sure why you want to do so, but to me it looks like your request
is about 'how can I hide some costs that did occur' and that would be a
very bad project management practice.

This is what Microsoft Project is all about: to identify deviations in
the actual done and your initial project schedule. So either:
- the resource actually did work 200 hours in that month because he did
some overtime. This will have an impact on your project cost and you
have to account for this overrun in the future. You cannot simply 'hide'
this overtime to make your reports look better. There is an actual
problem in your project.
- or the 200 hours have not been done. This needs to be tackled at the
source. The resource should adapt his time registrations to set things
correct and end up with just 176 hours.

If this is not what you are asking, please clarify a little more.

Hi Hans,

Yes, but 200 hours is reflected to plan and you are right its bad management
if i hide overtime.

but can i prevent resources to enter grater than 8 hours (over time) before
submited.

Hans,
You can use overtime hours to reflect the hours but not the cost, but this
is a bit more difficult to manage. Set the resource overtime rate to 0 and
enter hours greater than 8 as overtime hours. You might want to do some
testing to make sure it does all that you want and meets your expectations.
