100% complete but still receiving overdue/incomplete alerts

I recently 100%-ed every task out on a perticular project and even
republished the assignments (and checked the box to over-write the time that
had been entered by my resources) and myself and other resources on the
project are STILL receiving OVERDUE email alerts...what did I do wrong?
Please help...thanks!

Usually this happens because PMs delete resources from tasks without first
closing out the assignments. Make sure that your PMs close out their
assignments by setting remaining work to zero, publishing the change, then
delete the resource from the task. Other causes of these are not so easy to
control, but happen much less frequently.

Would the same be true if new tasks are inserted to occur before tasks that
are in progress and/or 100%. We have resources receiving emails of
incompelte/overdue tasks that are 100% complete as well and the insertion of
tasks is the only thing I know of that occured.

Thanks. We ran the SQL script to remove deleted tasks, but this didn't
resolve the issue as there were 0 records found. So would our next course of
action be to delete the entire project from project server and then republish?

This is probably a silly question.... but does doing this impact the
assignments that are not "broken"? What would resources see on their
Timesheets for work already done on a task on the the deleted project after
it has been "reimported"?

Yes, the actual work will be there if you select the checkbox to overwrite
actual work on the timesheets when you republish. Understand that there may
be slight variances in the work record which can occur for a number of
reasons, such as how the Project Pro client handles actual work on
fixed-duration tasks.

So basically, I save the published project locally, delete the project from
the server, and then publish the locally saved project, correct? then I
would publish the assignments and overwrite work, yes?

One other question... anything that is contained on the sharepoint site
(i.e. documents) would need to be saved locally before deleting the project
and it's corresponding site, correct? Or is there a way to associated the
reimported project with the original sharepoint site address?

I hate to seem remedial, but we are running into odd situations that may be
procedural errors on our part. So I would just like to clarify the correct
procedures...

In this situation, are you "zeroing" out work for resources on tasks that
are being deleted? Or to tasks where a resource is being removed?

We are finding that if we need to delete a task that had resources assigned
to it, we have to remove the resources first, republish to generate an
assignment cancellation to the resource, then delete the task. Otherwise,
just deleting the task (without removing the assignment first) leaves orphan
assignments in resource timesheets. However, we have not zeroed out their
scheduled work.... just removed them from the task. So are you suggesting
that we should be zeroing out assigned work first, then remove the resource,
then republish to generate the cancellation, and then delete the task?

In a situation where you are removing a resource from a task that is NOT
being deleted, I'm guessing you are saying that we should be zeroing out
remaining work for the resource to be removed, republish the task
(overwriting actual work), remove the resource, and then republish again? If
re-assigning the task to another resource, we can just use the Replace
function in Assign Resources, correct?

Exactly, you must zero out the remaining work, publish the updates to close
the assignments in PWA and then you can either remove the resource or remove
the resource and the task, providing you performed this procedure for each
resource on the task.

If you use the save to file method to shake the orphans out, you should use
the Import Project to Enterprise to bring the plan back to the server.

Gary-

Thank you! That explains so much! I wish the training we had included that
extra piece of information. We were told we could just remove the resource
and republish... or delete the task and republish the project.

I will pass this on to the rest of our PMs and hopefully we will see a
marked decrease in orphans ;-)

ProjectController

I have tried everything and the resource continues to receive a message every
day. The project has been closed since January 2009. I followed these steps
and the resouce continues to receive messages. I deleted the project, she
still got messages, I reimported it, did an overwrite, she continues to get
the messages. Please help.
