2002 Close Out

How can you close out projects in 2002 so that resources
do not charge time to that project? I need the project for
historical data.

Project Server 2002 does not have any formal method for "locking" closed
projects so that team members can no longer charge time to them. This
feature is available in Project Server 2003 through the use of managed time
periods.

In your situation, I would simply save the closed project as an .mpp file
and then ask the Project Server administrator to delete it from the Project
Server database. Before the project is deleted, if any team member attempts
to submit actuals for a closed project, the PM should simply reject those
task updates. Hope this helps.

I suggest:

1) create a custom field with values "to start", "in progress",
"cancelled", "on hold", "closed"

2) when the project is closed or cancelled, to delete resource
assignment from PWA/administration/reorganize database

In this way the project is on database but resources can't update it.

OK I have those fields created. I am in the cleanup
database section. Could you give me the exact steps?

Piero's second suggestion is very labor intensive. You will have to delete
the task assignments for each resource indvidually during a specific time
period. You do not have the option to delete task assignments for all
resources on a specific project. That is why I said that you should save
the project as an .mpp file and then ask your Project Server administrator
to delete the project from the database. Hope this clarification helps.

It is possible to delete all assignments of all completed tasks, for
all resources or for one resource at a time, for all periods or until
a fixed date. If this is ok for you, chose "Delete items from
database", Tasks, select "only completed tasks", choose "for all
users" and press button Delete. I have italian version of Project and
words may be not exact.
