Achiving and hiding projects or tasks in Project Server 2007

In Project Server 2007, I'm aware via various sources that setting a task's
Publish value to 'No' (or setting the resource for a whole project to
'Proposed') will hide a task from timesheets, etc. But can you fully archive
a project so that the project name doesn't appear anywhere in tasks lists or
timesheets (except maybe on the Data Analysis cube - if possible!). I'm not
too worried about what project managers see.

Basically I'm trying to tidy up the drop down list of tasks if one needs
adding to the timesheet.

Have you tried deleting the published version of the project and seeing if
that removes the acitivities from the Add Line dropdown list?

This will remove the project data from the reporting database as well which
means it will not show up in the Analysis Cubes.

Clive:

In 2007, you can use the close tasks to update feature to effectively remove
the tasks from the My Tasks page and from Timesheet creation. The
implementation of this feature has one flaw in that it leaves the Project
Name selectable in the drop-down list for creating new tasks. We hope to see
this changed in P14.

Gary - thanks for your reply. Yep, that's the disappointing thing about the
'lock' feature - its doesn't go far enough. (Needs a lock-and-hide option)
Do you know when P14 is due?

So that I don't do too much damage ... which function deletes the published
version?And it is left in the 'backups' done via the admin pages?

My best guess is 18 to 24 months. We're supposed to see a Beta this spring!
Don't go placing bets on this because #1) I am not "in the know" #2)
Microsoft id unpredictable, and #3) I'm only guessing.

Under PWA>Server Settings>Database Administration>Delete Enterprise Objects

What you need to make sure of is changing the toggle button under "Delete
the selected project(s): to "Delete projects only from Published database"

I can't say for sure that this will give you your desired results but it is
worth testing out. I do not believe this will affect your archive (backup)
database either.
