Actual Hours Approved Against a Summary Task

T

Tim @ NARA

I accidentally approved actual hours submitted against a summary task
(uncertain how or why a user is able to submit hours to a summary task). I
attempted to zero out the hours using "Adjust Actuals" in PWA, but the result
I expected (an adjustment of actual hours in the summary task to 0) back in
Project Professional didn't occur. Project Professional actually increased
the hours (from 47 submitted to 124.23).

My coworker suggested adjusting the hours in Project Professional (zero'ing
out the actual hours in the Task Form view), but the consultant who
implemented Project Server for us said not to adjust actual hours in this
manner (instead use PWA which I attempted).

Any recommendations?

Tim:

The only way a resource can send an update to a summary task is if they're
assigned to a summary task. This should never happen. To restore things to
where they should be, you can:

Temporarily turn off managed time periods (Do this when you know others
won't be on the system)
Open the project in Project Pro
Apply the task usage view and locate the task assignment in question ( make
sure you add actual work to the view if it's not already exposed)
Correct the assignment in question by zeroing out actual and remaining work
Use Collaborate > Publish > Republish Assignments to republish the
assignment selecting the checkbox to overwrite actual work in PWA
Save the project
Remove the resource from the summary task
Republish the assignment again, this time you don't have to select overwrite
Save and close the project
Restore your managed time period setting

Gary:

Thanks for your reply. One question. Where do I "Remove the resource from
the summary task"? In PWA or Project Professional?

I think I figured out my last question to you (regarding removing the
task--looks like its done in PWA). Here's another basic question. Where can
I turn off managed periods?

Thanks

You need to do the assignment removal in Project. Reread my post, it's very
clear that you're working in Project Pro. Use the Admin section of PWA to
change these managed time period settings under Customize Project Web
Access.
