Assigning default documents to new project workspaces

Hi,

Is there any way that I can configure project server so that whenever a new
project workspace is created, the document libvrary for that workspace is
pre-populated with a set of project methodology templates?

At the moment all project managers have to upload these templates to each
project workspace, and it would be good if they could 'just be there'.

Any ideas? Any advice greatly appreciated.

Hi Ian,

yes you can, when you create a template from an exisitng workspace, make
sure to tick on "include content", than all the documents will remain in the
template. Once you associated this template to PWA, every time a project is
created the workspace with the document library and the templates will be
created.

Having said this, I never do this since templates are updated on a semi
regular basis. My recommendation is to keep the methodology templates in the
shared document library of project server ( or one you create on PWA level).

The alternative is to create documents based on content types, that means
that you have a suite of templates in the document library when you click the
"new" button in the project workspace document library, but most times that
requires some coding.

Hope this helps

Hi Marc,

Thanks for the very quick reply. Could I trouble you for another bit of
guidance in an attempt to resolve this? It may seem like a basic question,
but I can't see where I can create a template from an existing workspace (and
a check box for include content).

If I click Create in the workspace and select Sites and Workspaces this is
close as I can get I am afraid.

If you could point me in the right direction for this then I think I would
be close to cracking the problem.

Many thanks again,

Iain

no Problem, within the project workspace that you have updated, go the the
right hand top site, you will see a tab called "Site Actions". Click on the
tab and choose "Site Settings". Within this page select "Save site as
Template". You will see a new screen where you will need to give the site
template a name etc. within this screen click "Include Content" and click ok.
This will create a template with the content ( including documents). You can
now take this template and make it a Project Workspace template.
Hope this helps

Hi Marc,

Thanks again for the response and apologies ofr the dealy in responding.

I have successfully cretaed a workspace template with some default docs, and
then I can see this in my 'Site Template Gallery'. I now need to make this my
default workspace that is assigned to each new project that is created, but
can't see how this can be achieved? The Site Template Gallery has a comment
in that the view does not display default site templates.

So basically, when I save a new project and assign the name etc, I need an
option to choose the correct template or make the one I want the default, and
that would be me a happy man!

Thanks again for your help so far, hopefully not far away from a solution.

Hi Marc,

Thanks again for the response - I think we see the missing link now in
getting our template set up and appleid as the default.

Thanks for all the advice.
