Assigning resources

Hi,

We have a situation where we have resources split into different divisions
and we have setup up groups and categories to account for this, so that
Division A only gets to see projects in Division A, Division B only gets to
see resources in Division B etc.

Our RBS is set up as follows

Division A
Dept A
Dept B
Dept C

etc (similar for other Divisions)

The problem is that managers assigned at Dept A should be able to see all
resources in Dept A including those assigned at at Dept A level. Further
managers assigned atthis level need to ba able to assign each other to tasks
in a project.

How do we achieve this ?

We understand that the RBS allows users to see others below them in the RBS
but we need a mechanism that allows them to assign resources at or below the
same level as themselves.

We've read all the stuff and documentation on RBS but can't see how this
relates to our situation.

Appreciate some advice !

Assigning managers at the Division Level will allow managers to see and
assign resources at Dept A, B and C which is not what you want I think. To
solve your first problem of "Dept A should be able to see all resources in
Dept A including those assigned at Dept A level" I would suggest setting up
the structure like this:

DivisionA
DeptA
TeamMembers
DeptB
TeamMembers
DeptC
TeamMembers

Managers should be set at DivisionA.DeptA and resources at
DivisionA.DeptA.TeamMembers as an example.

However, this will not fix you second issue of "Further managers assigned at
this level need to be able to assign each other to tasks in a project"

I have run into this same issue myself at a client site and am hoping that
in the next release (P12) that security around RBS will include non only
seeing resources below but also seeing resource at the same level.

Unfortunately, the RBS functionality as presently designed does not allow
peers to "see" each other.

One workaround is to create a special category for these managers that does
not include any project permissions and does not use the RBS to define access
to resources. Manually select each project manager and put them in the list
of available resources. Obviously, this approach will require maintenance
any time the list of managers changes.

In addition to Jonathan's helpful comments, I think there is a fairly simple
solution to your problem of project managers not being able to see the other
project managers in the Build Team dialog. My approach would be to create a
new Category in PWA called something like "My Fellow Managers." In the
Resources section of this Category, copy the names of the project managers
to the list on the right. Add this Category to the Project Managers group
and then save the Category.

This will immediately make the project managers visible to one other in the
Build Team from Enterprise tool and will bypass the problems you have with
using RBS for this purpose. Obviously it will be at least a little "labor
intensive" as you will need to maintain the list of current project managers
in the My Fellow Managers category, but that is a small price to pay for
solving this little problem. Just a thought. Hope this helps.
