Automatic Alerts when assigned to Issue or Risk?

T

TroyS

We've been customizing our project workspaces by changing the Issues and
Risks list to meet our processes
We are wondering if we broke something...

As Resources are 'Assigned To' Issues and Risks, are they supposed to
receive an automated email, (assuming the SMTP server is set up) indicating
they are assigned to an issue or a risk?

I can go into the Alert Me function and say send me an email if anything
change; that works but that is based on someone editing the List item not
necessarily the 'Assigned To' Field.

I can set up a new list and that seems to send an immediate email when i
'Assign To' someone within a new list entry. That person does not have to
go to Alert Me to set this up.

So i'm wondering if we broke our Issues and Risks list - that is, do these
lists send out automatic notifications via email?
OR
The PS07 Issues and Risks Lists do not operate this way, but other WSS Lists
do oeprate this way...

thx.

Hi Troy,

Out of the box the "assigned to" resource in Risks and Issues will
automatically receive an email when assigned to the risk. If this doesnt
work anymore, then I would think that you broke something when you amended
the workspace. can you tell me if the user actually sees the risk / issue
assigment on the PWA home page under remiders?
Thanks

I am not certain but from what I have experienced, they have removed the
automatic alerts to the "Assigned To" user in the Issues and Risks in
Project Server 2007.

The way I have gotten around this is to create a simple alerts workflow on
the workspace using SharePoint Designer and then making that workspace the
new project workspace template. If you already have sites out there, it has
to be designed on each site from what I have seen which can be a disaster if
you have many many sites already.

There is another way to set up a workflow by coding it and compiling a dll
and registering that dll on the server. This would then be automatically
available to all workspaces on the server. I don't know much more about
this approach than that.

Marc,
I do see immediately that I have an assigned issue in the PWA Issues and
Risks Section ...
Now today, the auto alert was received in outlook in this example above
where i assigned myself to a new issue just to be sure the PWA Issues and
Risks showed something.

So i don't know if someone bounced a server somewhere or was doing something
else, but at least in this one site i did get an Outlook alert and I see a
count in the PWA Issues and Risks...

thx.
