Automating Reply

J

John

I am using Outlook 2007 with Exchange Server 2003. I receive hundreds of
email sent to (e-mail address removed) and now I'd like to create a rule to
automatically reply to each one of those incoming mail that are already in
my Inbox instead of opening each email and clicking the reply button (and
paste text into email body).

Here's what I see in my rules wizard:

Apply this rule after the message arrives
sent to people or distribution list (value = (e-mail address removed))
have server reply using a specific message (I haven't created a specific
message yet) or reply using a specific template (I have not created the
template yet)

The above is the closest rule that I see fit. I'd like to run the rule
against the email in my Inbox or a specific folder such as Inbox - Job
Application. This rule does NOT necessarily have to send an auto reply mail
to all incoming mail sent to (e-mail address removed) in the future.

Am I looking at the correct auto reply options or is there something better?

Hi John, hope you are well

The rule you've created below looks great and will do the job. One of the
final steps to creating this rule is to chose to 'turn on rule' and/or 'run
on this rule on messages in Inbox' if you select 'run this rule on messages
in Inbox' and clear the check box for 'turn on rule' and opt to run the rule
now. These options will acheive what you are after. This will run the rule
against the current emails which fit the rule and not send replies to new
emails which fit the rule.

When the time comes to run this rule again, you can run one or more of your
rules manually. Running rules manually allows you to selectively apply them
to messages already in your Inbox or in another folder.

To run the rule: Change the rule, ensure the options are set as above and
opt to run the rule now.

Hope this helps or you are able to find a solution in here.

Note that if you are using Outlook 2007 SP2, reply with template will not
work - there is a bug that breaks the feature. Reply with message from the
server might work. After you run it against the folder using run rules now,
remove the check mark to disable it or delete it.
