"C:\...\file is being used by .... Do you want to make a copy?"

This is a bit embarrassing. I have a problem using word
97 that was fixed on the advice of Suzanne B. Barnhill a
few weeks ago. When I open a document in word I get the
message, "C:\(file name) is being used by Bill (me). Do
you want to make a copy?" Suzanne suggested a remedy that
solved the problem. Unfortunately, since then I had to
reinstall xp because of a number of problems that are not
related. I lost a number of files and among them was the
solution to the problem. I cannot for the life of me
remember what it was, but the problem is back! I think it
had something to do with how my files were set up but I
can't be sure. Has anyone else had this problem? I've
noticed that in windows explorer I have two files
called "Bill's documents" and the standard "My documents"
all of which hold my word doc.s I can't get rid of the
redundant folders. Is this part of xp's file sharing
feature? I'm not sharing files and I'm not on a network.
Any help or suggestions are welcome. Thanks
