Can word insert data into fields automatically

A

Amit

I have a template which is a form. It has a field at the top of every page which is Proposal Number
I would like, when the user enters data into the field on the first page...for it to automatically insert the same number into the field on all the other pages

Is this possible ??????

Yes it is.

What type of field are you using to insert the number? If it is a Fillin
field or Ask field, you can bookmark it and put Ref fields on the other
pages which will automatically enter the information on the other pages.

Give us a bit more information about what your form has in it for fields.

If it is a Fillin

on the other pages.

So one would first create the Fill or Ask field, and then create and
name a bookmark around that Fill or Ask field?

Create the field, select it so that it is highlighted and create a
bookmark. Then where you want the information to appear again, create a
Ref field {Ref MyBookmark} using the name of the bookmark you used when
you created it.
In Word help, Field Codes: Fillin Field.

Note that you can also do this with form fields, which have a built-in
bookmark.

Maybe you can, but I can't ;-)

I'll try it again, but, when I tried it last, it seemed impossible.

create a Ref field {Ref MyBookmark} using the name of the
bookmark you used when you created it.
In Word help, Field Codes: Fillin Field.

Thanks very much. I'll try it. It sounds like exactly what I've
been looking for.

I'm not sure what part of it wasn't working for you, but (a) every text form
field has a built in bookmark, (b) you can change the bookmark name if you
like in the Form Field Options, (c) you can insert a cross-reference to the
bookmark text using Insert | Cross-reference (Insert | Reference |
Cross-reference in Word 2002 and above), and (d) the cross-reference will
update automatically if you check the box for "Calculate on exit" in the
Form Field Options dialog.

Look up "online forms" in Word's help. You would use a REF field to repeat
information from a form field. Otherwise you can use bookmarks, but they are
fragile. It is hard to type in an existing bookmark without deleting the
bookmark unless you know what you are doing.

1. It looks like the Word 2002 text form field is hardwired to be
bookmarked (unless one can change that by just deleting the
bookmark name, which I didn't try).
2. It is *quite* hard to type in the text form field without
replacing the entire field. How does one do it?
3. It does not seem to be possible to use a form text field
first, and then a REF field, and have the REF field refer to
anything *except* the bookmark. Did you mean that I should just
avoid the form text field altogether, in favor of a FILL-IN or ASK
field?

REF fields and FORMTEXT fields are perfect companions. As you say, the
bookmarks are hardwired (you can in fact rename them, however) and won't be
overwritten by typing in the form field. Be sure to check the box for
"Calculate on exit" so that your cross-reference will update automatically.

The only reason for using ASK and FILLIN fields is to accomplish a similar
purpose in non-form documents (some users don't want to have to protect a
document for forms, thus losing a lot of functionality in Word, in order to
have this feature).
