Changing Default: "Print what"

B

Bob

Hi,
Some of my documents have comment ballons in them. When I print these, Word
defaults the "Print what" setting to "Document showing markup". How do I
change Word from desiding for me what it thinks is best? I want to set
"Print what" to always be "Document" and not allow Word to decide this
setting.
Thanks.

Dear Bob,

Based on my research, this behavior is by design. When we insert comment in
a Word document, the Print what dropdown list in the print dialog is set to
"document showing markup" by default. You need to select "document"
manually in the Print what dropdown list in the print dialog.

In the meantime, we are very interested in your thoughts and opinions for
improvements that we can make to provide the features and functionality you
and your customers would like to see.

If you are interested in making your opinions count in a usability study,
we conduct several types of studies on an ongoing basis from lab research
on campus to survey and site visits. More information here:

Thanks Alice, I submitted the following feeback to the site you suggested
-------------------------------------------------------------------------------------
I find it annoying that I must print my documents twice because Word
determines the "Print what" field for me. Some of my documents are marked up
with comments. These are meant for the Word user, not the printed document.

When these marked up documents are printed, Word determines that the
comments should be printed and changes the "Print what" field from "Document"
to "Document showing markup".

The user of Word doesn't realize their mistake until the printed document is
viewed and therefore must correct thier "mistake" and reprint the document
using the "Print what = Document" setting.

The fix in Word can be several.

1a. Don't alter the "Print what" field.
1b. If #1 above is not done, please put an option setting in place where I
can control the default "Print what" behavior.
2a. If Word feels it must guide the user, don't do it clandestinely, but
rather pop-up a window or highlight the field so the user can see the "print
what" field has been altered.
2b. If #2 above is done, please put an option setting in place so that I can
turn off any annoying pop-ups

While I don't disagree with the need for sticky print options, when
you print your document Word will print what you have "told" it to
print and that is what you have displayed on the screen.

If you do not have comments/revisions displayed then Word will not use
"Document showing markup" when printing. With that in mind, prior to
printing, on your Reviewing toolbar all you need to do is change the
Display option to "Final" and the comments/revisions will not print.

Please post all follow-up questions to the newsgroup. Requests for
assistance by email can not be acknowledged.

I'm new to 2007 Windows. I do not like my documents opening in "Final
Showing Markup". Also, when I send documents to others I want them to be in
"Final" format. Question: How do I dafault my tracking to "Final", so I
don't see all this garbage when opening documents? Thank you.
