Changing EMAIL Accounts to retrieve email

I have Office 2003 running on a Dell XPS 4000 with XP Media Edition. I have
only one user account on my XP system and 2 profiles (default and one for my
wife) in Outlook. Both XP and Outlook are current with all updates.

Unlike in Outlook 2002 we can not close/exit Outlook; restart Outlook and
select a different profile. Is this the way it is supposed to work in 2003?
We find that we must shut down the system and restart it and then select a
different profile. Otherwise, when Outlook is closed and then restarted it
returns to the profile that was in effect when it was closed.

I have gone to CNTL Panel/Mail/User Accounts/Show Profiles and ensured that
the box for “prompt for profile to be used†is checked.

When the system is started or restarted an Office Window appears requesting
that I select a profile. This appears not to immediately start Outlook.
But, when I select Outlook from the task bar it starts with the profile
selected. If I choose to close the window without selecting a profile;
Outlook simply ask me to select a profile and then it does not change upon
exiting Outlook.

Is there a way to be able to switch user profiles without restarting the
system?

AFter you close Outlook and check Task Manager, do you see outlook.exe in the running processes? If yes, there are a couple of things to look at - if you have a PDA that is cradled, it will keep Outlook open. Uncradle any PDA before shutting down Outlook.

Some common reasons why Outlook will not shut down completely when you click either the X or Exit:

1. PDA synchronization software with your PDA in the cradle.
2. WinFax Pro (especially 10.02 in Outlook 2003) - contact their support for an alleged fix.
3. Franklin-Covey Plan Plus!
4. COM Add-ins.
5. Mail reminder add-ins that keep a stub of Outlook open in the background to check for new mail and fire reminders.
6. Anti-virus/firewall programs that are set to scan incoming and outgoing mail.

If you don't have any of these but still see the process active, kill it using Task Manager and then reopen Outlook. It should prompt for a profile.

Hi Milly,

First let me thank you for taking the time to provide a clear and complete
answer. I did look at the processes and I found the Outlook.exe task running
after I closed Outlook. Upon ending the process and restarting Outlook I was
able to select the other profile.

On my system I am using ZoneAlarm Internet Security Suite which has a
component Mail Frontier which I assume checks my email etc. Also used is
Microsoft’s Fax facility.

I conducted the following scenarios with the following results:

Scenario 1

1. Restarted my PC
2. Selected the default profile (which is the one I use)
3. Selected Outlook from the task bar and started Outlook
4. Closed Outlook
5. Check the running processes and found Outlook.exe
6. Ended the Outlook task
7. Restarted Outlook from the task bar
8. Selected my wife’s profile and successfully opened it.
9. Closed Outlook
10. Checked the running processes and DID NOT find Outlook.exe
11. Restarted Outlook and successfully selected the default profile


Scenario 2

1. Restarted my PC
2. Selected the default profile (which is the one I use)
3. Selected Outlook from the task bar and started Outlook
4. Closed Outlook
5. Check the running processes and found Outlook.exe
6. Ended the Outlook task
7. Restarted Outlook from the task bar
8. Selected my wife’s profile and successfully opened it.
9. Closed Outlook
10. Checked the running processes and DID find Outlook.exe
11. Restarted Outlook and successfully selected the default profile

I have no explanation for the item #10, but I did recheck and did find the
process running and was able to change profiles. I did notice that upon
startup I did get the message my personal folders did not close properly. I
am guessing that although Outlook was closed that by ending the Outlook.exe
process I interrupted the orderly shut down of Outlook. The error did not
cause any apparent problem --- Outlook successfully started.

Do you have McAfee set to scan in Outlook? If yes, please stop. It does nothing for you, causes the kinds of problems you are seeing, and is a worthless sales ploy to scare people into buying crap they don't need.

You are fully protected by your on-demand AV scanner and if you need to scan outgoing mail cause you think you may be sending a virus, then you are about 3 steps too late.

Hi Milly,

When I received my system from Dell they had pre-installed McAfee and its
firewall on my system. I used CNTL Panel/Add/Remove to remove McAfee from my
system. There is the possibility that it maynot have been a clean uninstall.
Do you know the name of the process(s) I should look for. It is not apparant.

BTW, I replaced McAFee with ZoneAlarm Security Suite. Does your comment
hold true for ZoneAlarm. I have succesfully used it without problem with
Outlook 2002.
