Create Resource Repository and Track resource availability

M

Matt

to anyone who can help,

We are trying to use Project Server to create a respository of all our
project engineers, can we do this in Project Server that contains associated
details of each respectiv engineers, ie, their technical skills, cv's.

Also we want to be able to have visibility across our project office of the
availability of all our project engineers, ie is their a master calendar that
can show the days that engineers have been allocated to projects. We want a
"at a glance" view of days of the month / week of when our engineers are
allocated to projects.

How can we do this in project server, if in fact it is possible to do this.

Matt --

I can assure you that everything you wish to do can be done within Project
Server.

First, your organization must determine what types of information you want
to associate with each project engineer. Once you have done this, your
Project Server administrator will need to open the Enterprise Global file
and create one or more custom enterprise Resource fields and/or outline
codes containing the types of information you want to track. For example,
if you want to associate job skills with each project engineer, your PS
admin should create a custom enterprise Resource outline called Skills and
containing the list of skills you wish to track. When finished, the PS
admin should save and close the Enterprise Global file, then close and
relaunch Microsoft Project Professional, and log into Project Server.

Second, your Project Server administrator must open the Enterprise Resource
Pool and add all of your project engineers and other resources in your
organization to the resource pool. In addition, your PS admin must select
values for each resource using the custom fields and outline codes set up in
the Enterprise Global file. After doing so for every resource in the
organization, the PS admin should save and close the Enterprise Resource
Pool file.

Third, your project managers will need to create projects and include the
appropriate resources for each project using the Build Team from Enterprise
tool. The PM should assign project team members to each task in each
project, then save and publish the project using Collaborate - Publish - All
Information.

Fourth, your PMO can view resource available several places in PWA,
including using the View Availability and View resource assignments options
in the Resource Center.

Given the challenges your organization will face doing steps 1-3 above, I
would strongly recommend that you select a Project Partner to assist you
with implementing Project Server and training your people how to use it
correctly. Hope this helps.
