Creating a resource view

Good day,

I am modifying a view within Resource Assignments. I'd like to filter
by active/inactive resources but that field is not available. It is
available in the Resource Center views. It's really important that I
be able to filter because we have a large staff half of whom are listed
as inactive. Any thoughts?

The column you seek, which is the Inactive column, is not available in the
Resource Center view. Therefore, you must "trick" Project Server into
showing you the information you seek. Here's how:

1. Open the Enterprise Global for editing and then click Tools -
Customize - Fields.
2. Select the Resource option at the top of the dialog and then select the
first available Flag field, such as Flag1.
3. Rename the resource Flag1 field as "Is Inactive".
4. Add the following formula to the "Is Inactive" field: [Inactive]
5. Click the OK button to close the Customize Enterprise Fields dialog.
6. Save and close the Enterprise Global file.
7. Exit and relaunch Microsoft Project Professional.

This first set of steps allows you to capture the value in the Inactive
field in another field that you can add to the Resource Center view. Next,
complete the following steps to activate the new field in the Enterprise
Resourcr Pool:

1. Click Tools - Enterprise Options - Open Enterprise Resource Pool.
2. In the Open Enterprise Resources dialog, select the "Include inactive
resources" option and then click the Apply Filter button.
3. Click the Select/Deselect All button and then click the Open/Add button.
4. Press the F9 function key to calculate the new field and then save and
close the Enterprise Resource Pool.

Now create your Resource Center view and include the new enterprise resource
Flag1 (Is Inactive) field to the list of fields in the View. Apply
filtering or grouping as you desire, and remember to include the View in at
least one Category. After you save and then apply the View, you will see
the Is Inactive field correctly populated with the information you seek.

Couldn't carry it through - First, just to clarify: this is an
assignment view, not a Resource Center view. Secondly, I did as you
said, but could not save the global resources. An error box "Validate
Enterprise Resources" came up listing almost every resource in our
place as having some kind of problem, although most of them are fine.
We use Outlook as our verification tool and if the person is inactive,
sooner or later they lose their presence on our Outlook list, Project
can't find it, and stops. I can save every step of the way until I
apply that filter.

in that error list so don't answer that last post. Will update you
after lunch!

okay. It's not working.

Here's the situation:
I want to tweak the "View Resource Assignment" view, but the inactive
flag field I created in Enterprise Global doesn't translate - it
doesn't come up as an option when I modify the view in PWA. This is
an "assignment" view, not a resource one and the enterprise resource
flag doesn't show.

On the other hand, it does show up in Resource Center views, because
it's a resource code; but I can't use a resource center view because
it doesn't have the assignment codes I need.

Maybe I need to work differently:
Maybe I can make a Resource Center view that lists the tasks for each
resource. But as tasks are not codes within the resource center maybe
I could make customized fields to show the tasks, to "fool" MS
Project, as you put it. I feel like there are walls up all over the
place in this software!

I have really "blown it" on my answers to your original question. As I
re-read your original question, you clearly stated you wanted a Resource
Assignments view and then I gave you an answer for the Resource Center! My
bad. Please forgive me.

No, you cannot see this field in an assignments View, so that is simply not
going to be possible. And no, you cannot accomplish the same thing through
a Resource Center view because you cannot view tasks in a Resource Center
view. So, I'm afraid you are out of luck to do what you want to do. Sorry.

Yes, I did just as you said. Only "fields" is grayed out.

Dale, of all the choices in E. Global, "fields" is grayed out.
I have
all permissions. WHat could be the problem?

The column you seek, which is the Inactive column, is not
available in
the
Resource Center view. Therefore, you must "trick" Project
Server into
showing you the information you seek. Here's how:
1. Open the Enterprise Global for editing and then click
Tools -
Customize - Fields.
2. Select the Resource option at the top of the dialog and
then
select
the
first available Flag field, such as Flag1.
3. Rename the resource Flag1 field as "Is Inactive".
4. Add the following formula to the "Is Inactive" field:

1. Click Tools - Enterprise Options - Open Enterprise Resource
Pool.
2. In the Open Enterprise Resources dialog, select the
"Include
inactive
resources" option and then click the Apply Filter button.
3. Click the Select/Deselect All button and then click the
Open/Add
button.
4. Press the F9 function key to calculate the new field and
then save
and
close the Enterprise Resource Pool.
Now create your Resource Center view and include the new
enterprise
resource
Flag1 (Is Inactive) field to the list of fields in the View.
Apply
filtering or grouping as you desire, and remember to include
the View
in
at
least one Category. After you save and then apply the View,
you will
see
the Is Inactive field correctly populated with the information
you
seek.

Good day,
I am modifying a view within Resource Assignments. I'd like
to
filter
by active/inactive resources but that field is not available.
It is
available in the Resource Center views. It's really
important that
I
be able to filter because we have a large staff half of whom
are
listed
as inactive. Any thoughts?

Dale - in that case, why couldn't I add a field where I manually
assign the resources in our company some kind of flag or text field
where I manually input their inactive status, have it from then on,
and then add that as a column in the Resource Assignment view in PWA?
If you could guide me to the right kind of field to create that, I bet
that would work. I would need that guidance, because "assignment"
seems to be in a category of its own in PWA that doesn't have a direct
match in Enterprise Global.

Just for fun, try creating a local Resource field instead of an enterprise
Resource field. Add the local field to the list of Published fields for one
project and republish the assignments in that project only. Add the local
field to a View Resource Assignments view and see what happens. Hope this
helps.

as I'm unfamiliar with published fields, please bear with me. I went
to tools-customize-fields- and made a resource/flag field with a value
list of yes/no, and renamed that field "active-inactive". Then I went
to published fields but couldn't find my renamed field in a dropdown
list. Not sure how to get it into published fields.

I misspoke again. I think my answers to your original post have been the
worst string of answers I have ever given. I'm sorry for that. The list of
fields in the Published Fields list shows only Task fields and not resource
fields. So my answer won't work. I apologize most sincerely for any time
wasted or confusion I have caused you.
