curious as to what causes bad data

I posted in the General Question section, but wanted to ensure I covered
other areas to help me more. Ok, the problem is that the small company I
work at I do data entry into Access. I do the data at home and then burn it
onto CD, and then the person at work copies and pastes it into a folder. The
newest one is always used (we rename the files with the date we put in the
data). There have been inconsistencies with the data reports, as well as
what my file shows, versus what the in-house people see. For example, I see
in a field that I put in Oranges, but they see Apples! I was told this might
have something to do with ID assignment. Also, I get some errors when I
start working, yet the person at work doesn't get those errors (library
reference, etc). That tells me that she has an updated version of something,
and I don't. Either way, inconsistency like that isn't normal or healthy.

What can cause the problems mentioned? What problems can occur while it
goes from my computer to hers? Why is this happening? And how do I prove
that I am putting in the correct data, but it's showing up wrong when they
receive it? I have a defense already built up, but I wanted to squeeze out
any more info I could find. If someone, too, could explain step by step how
the data gets saved (into a database, encrypted?) and then gets used
(decrypted?) and viewed by the person at work, that'd be great. What could
be lacking or wrong in the programming end that I could look into?
