Delete Enterprise Resources

We have a lot of inactive Enterprise Resources that we want to delete from
our Project Server 2007 environment. But when we try to delete some of the
resources (in Server Settings -> Delete Enterprise Objects -> Resources and
Users) we're getting the following message: "The specified Resources and
Users could not be deleted because of the following errors: [Resource] : The
resource is used in resource plans on one or more projects and cannot be
deleted". When we open the Resource Center, select the resources concerned
and click on "View Availability" there are no projects/proposals listed in
the Details area (and yes, we Include proposed bookings). Any ideas on how to
solve this issue? Is there a better way than checking the "View Availability"
site to find out if a resource is assigned to a project (resource plan)?

Rules to look for when deleting inactive resources and receiving this
message: You cannot delete a resource that owns a schedule, is a status
manager of an assignment, has anything checked out, is a timesheet manager,
etc. these are in the SDK under Resource Methods and DeleteResources.

In addition to Sean's excellent advice, you might want to determine the
following:

1. Were any enterprise projects initially started as Proposals? If so, did
the Proposal includes a Resource Plan?
2. Are there any Proposals pending approval in your Project Server system?
If so, do any of them include a Resource Plan?

Although you cannot delete a Resource Plan, you can informally "disconnect"
the Resource Plan from a Proposal or an enterprise project by selecting the
"Project plan" option in the View Options pane of the actual Resource Plan.
Let us know if this helps.

Thanks Sean for helping me! Correct me if I'm wrong, but if the resource is
(e.g.) a timesheet manager for another resource, then shouldn't the error
message be something like "The resource is timesheet manager for one or more
resources and cannot be deleted" when we try to delete the resource? Or maybe
I'm misunderstanding your answer? In our case the error message indicates
that the resource is used in one or many resource plans (also described in
the DeleteResources method part of the SDK ). Unfortunately we don't know
which resource plan, and we can't get any information from the resource's
"View Availability" page in Resource Center. Is there another way to find out
which resource plan that's causing this problem?

Thanks for helping me! Sorry if I'm confusing you, but we're working with
resource plans only (no project plans) and we've selected the "Resource Plan"
option when calculating resource utilization. Some of our inactive resources
have been included in a couple of resource plans, and basically we want to
delete these Enterprise Resources but keep the resource plans if you know
what I mean. I understand if these resources needs to be removed from all
resource plans, but the problem is that we have MANY resource plans and don't
want to go through every one of them to find them. When we select these
resources in Resource Center and click on "View Availability" no
projects/proposals are listed (including proposed bookings). Is there another
way to find out which resource plans a resource is included?

Well, Resource Plans do not stand alone. They are attached to enterprise
projects, Proposals, or Activity plans. So, to which of these three have
your people attached Resource Plans?

From your description, it sounds like these resources are members of the
team in a Resource Plan, but are not assigned to any work. Correct? If
that is the case, here's something you can try:

1. Log into PWA with administrator permissions.
2. Click Server Settings - Manage Views.
3. Click the New View button.
4. Click the View Type pick list and select Data Analysis.
5. Name the new View something like Resource Plan Work.
6. Click the Cube pick list and select the MSP_Portfolio_Analyzer cube.
7. In the View Options section, select the PivotTable Only option.
8. Click anywhere in the PivotTable and then drag the following Total
Fields and Dimensions into the following drop areas:

Resource List Row Fields drop area
Project List Row Fields drop area (to the right of
the Resource List dimension)
Resource Plan Work Total Fields drop area

9. In the Security Categories section, add the My Organization category to
the list on the right.
10. Click the Save button.

Next, navigate to the Data Analysis page and select the new Resource Plan
Work view. Expand the name of the first resource you need to delete. In
the list of projects to the right of the resource's name, you will see a
list of all Proposals, Activity Plans, and enterprise projects in which the
resource is a member of the project team OR a member of a Resource Plan
team. It will list Resource Plans even if the resource has NO Resource Plan
Work hours assigned to him/her. Jot down the names of the projects listed
for the resource. Repeat these steps for every resource you want to delete.

Next, you will need to navigate to the Resource Plan for every Proposal,
Activity Plan, or enterprise project that is listed for each of the
resources you want to delete. On the Resource Plan page, remove the
resource from the Resource Plan and then publish the Resource Plan. Now,

THANK YOU for this simple and excellent solution! I tried this in my test
VPC environment and it worked like a charm (it will probably work in our
production environment as well, otherwise I'll get back to this discussion
group)!

Dale, I have a very similar error. This person left the company and is no
longer assigned to any projects. He is marked as inactive. When we attempt
to delete him from Project Server 2007 (we deleted several - he is the only
one we had a problem with), we receive notification "The specified Resources
and Users could not be deleted because of the following errors: An error
occured while attempting to delete the specificied items." I looked at the
uls logs and didn't get much from that either...

are seeing. Why don't you repost this as a new question and see if our
technical friends can help you?

2. Click Server Settings - Manage Views.
3. Click the New View button.
4. Click the View Type pick list and select Data Analysis.
5. Name the new View something like Resource Plan Work.
6. Click the Cube pick list and select the MSP_Portfolio_Analyzer
cube.
7. In the View Options section, select the PivotTable Only option.
8. Click anywhere in the PivotTable and then drag the following Total
Fields and Dimensions into the following drop areas:

Resource List Row Fields drop area
Project List Row Fields drop area (to the
right
of
the Resource List dimension)
Resource Plan Work Total Fields drop area

9. In the Security Categories section, add the My Organization
category
to
the list on the right.
10. Click the Save button.

Next, navigate to the Data Analysis page and select the new Resource
Plan
Work view. Expand the name of the first resource you need to delete.
In
the list of projects to the right of the resource's name, you will see
a
list of all Proposals, Activity Plans, and enterprise projects in
which
the
resource is a member of the project team OR a member of a Resource
Plan
team. It will list Resource Plans even if the resource has NO
Resource
Plan
Work hours assigned to him/her. Jot down the names of the projects
listed
for the resource. Repeat these steps for every resource you want to
delete.

Next, you will need to navigate to the Resource Plan for every
Proposal,
Activity Plan, or enterprise project that is listed for each of the
resources you want to delete. On the Resource Plan page, remove the
resource from the Resource Plan and then publish the Resource Plan.
Now,
you should be able to delete the resources in question. Hope this

Thanks for helping me! Sorry if I'm confusing you, but we're working
with
resource plans only (no project plans) and we've selected the
"Resource
Plan"
option when calculating resource utilization. Some of our inactive
resources
have been included in a couple of resource plans, and basically we
want
to
delete these Enterprise Resources but keep the resource plans if you
know
what I mean. I understand if these resources needs to be removed
from
all
resource plans, but the problem is that we have MANY resource plans
and
don't
want to go through every one of them to find them. When we select
these
resources in Resource Center and click on "View Availability" no
projects/proposals are listed (including proposed bookings). Is
there
another
way to find out which resource plans a resource is included?

In addition to Sean's excellent advice, you might want to determine
the
following:

1. Were any enterprise projects initially started as Proposals?
If
so,
did
the Proposal includes a Resource Plan?
2. Are there any Proposals pending approval in your Project Server
system?
If so, do any of them include a Resource Plan?

Although you cannot delete a Resource Plan, you can informally
"disconnect"
the Resource Plan from a Proposal or an enterprise project by
selecting
the
"Project plan" option in the View Options pane of the actual
Resource
Plan.
Let us know if this helps.




We have a lot of inactive Enterprise Resources that we want to
delete
from
our Project Server 2007 environment. But when we try to delete
some
of
the
resources (in Server Settings -> Delete Enterprise Objects ->
Resources
and
Users) we're getting the following message: "The specified
Resources
and
Users could not be deleted because of the following errors:
[Resource]
:
The
resource is used in resource plans on one or more projects and
cannot
be
deleted". When we open the Resource Center, select the resources
concerned
and click on "View Availability" there are no projects/proposals
listed
in
the Details area (and yes, we Include proposed bookings). Any
ideas
on
how
to
solve this issue? Is there a better way than checking the "View
Availability"
site to find out if a resource is assigned to a project (resource
plan)?

Well, Resource Plans do not stand alone. They are attached to
enterprise
projects, Proposals, or Activity plans. So, to which of these three
have
your people attached Resource Plans?

From your description, it sounds like these resources are members of
the
team in a Resource Plan, but are not assigned to any work. Correct?
If
that is the case, here's something you can try:

1. Log into PWA with administrator permissions.
