envelopes layout

Hi
I am using Office 2003 to print addresses on envelopes, the addresses are
obtained from my Outlook contacts list. The problem is the layout of the
address is incorrect, the easiest way to explain is with an example.

This is what apeares

Mark Stow

XX Corbar Road

Buxton SK17 6XX

Derbyshire


this is what I have to alter it to to be addressed properly in the UK

SK17 6XX


How can I alter this. All the fields are have the corect piece of data when
veiwed in Otlook. Is it a problem related to how addresses are formatted
for the US?

Dear Mark,

Thank you for posting here.

Based on my knowledge and further test, you could customize the envelope
template by mail merge. For more information, please refer to the article
below.

After customizing the template, you will notice all the contacts will
display in new template.

Thanks for your help.
I need to know the name of the template word uses when I click on "envelopes
and labels" in word. Hopefully this will allow me to alter the position of
the fields permanently.
Creating a mail merge as you suggest will work and the default layout it
uses puts the postcode in the correct place but this doesn't alter the one
built into word. As I print envelopes individually for my invoices
selecting a contact from the 500+ is not as practical.

Hi Mark,

Thanks for your update. Actually, if you are using mail merge, you can save
the template as doc file after customizing the envelop layout. And since
then you could use the template to print all other contacts by launching
the doc template and clicking Mail Merge in Tools menu. Hope this helps. If

Hi
I will try and get used to using the mail merge template but it doesn't
solve the question of why it is wrong.
I notice a question from someone called foxstar 3/12/2004 asking the same
question so it is obviously not just something on my machine. One of my
customers has asked me the same question also which is what forced me to
post rather than putting up with it. Workarounds are great as a temporary
measure but as Microsoft engineers customers expect solutions.
Hope we can get to the cause and find a solution.

Hi Mark,

Thanks for your update. I truly understand your concern. However, I don't
think it is only workaround. Once you create a template for envelop, you
could use it to print any contact in the future. I do apology if I didn¡¯t
clarify my suggestion. For your information, I provide the detailed steps
as below.

1. In Outlook, double click the contact you would like to print, in the
Country/Region
2. In Word, click View menu, click Toolbar, click Mail Merge.
3. Click Tools menu, click Letters and Mailings, click Mail Merge.
4. In Select Document Type, click Envelops, click Next: Starting document.
5. Click Next: Select recipients, and click OK for envelop options.
6. In Select recipients, click Select from Outlook contacts, and click
Choose Contacts Folder, then choose the contacts in Outlook. Then click
Next: Arrange your envelop.
7. In Word toolbar, click Insert Merge Fields icon next to Insert Word
Field, then design the layout as you want.
8. Click file menu to save the template.

Then you could use this template to print the contacts in the future. Hope

I understand your instructions and created a mail merge document when you
first sugested it. I apreciate this but it still does not answer my
original question. Why when I click tools, letters and mailings, envelopes
and lables in Word, does the Post code apear in the wrong place and how do I
fix this?

Hi Mark,

Thanks for your update. Mark, I truly understand your concern; however, I
am afraid it is not possible to change the layout in envelopes and labels,
which is fixed based on my test. Actually, the layout of contact envelop is
based on the Country/Region of the contact, if the country is set as United
Kingdom, I am afraid the output is just as what you have seen. I really
appreciate your understanding and cooperation regarding this. So as a
workaround, I suggest you printing the contact by Mail Merge which can
provide the customized template for contact envelop.
