File lock of sharing workbook

hi,

In a sharing session of workbook for our colleagues's data entry, our
colleugues could not save the workbook as Error message displayed when they
save the changes " File lock by a user. The document could not be saved"

I would like to know the cause of this and what file lock is so that i could
prevent this chaos next time, as the workbook is shared among 10 users.
